Voice AI use cases for businesses in Germany
A voice agent answers the phone in German, English or Turkish, books, takes messages and hands urgent calls to a person. These are eight situations where that fits a German business, from a Stuttgart heating firm to a Berlin travel agency, and the rules and limits that come with them.
Eight use cases
How businesses in Germany use voice ai.
Fictional businesses in real places, to show what the agent does with calls.
01 — Heating and plumbing · Stuttgart
Taking leak and breakdown calls after hours
A leaking radiator is reported at 18:40 when the master is on a job. The agent takes the address and urgency, gives the one safe first step you wrote, and promises a callback in the morning, so the caller does not ring the next firm.
- Greets in German and says it is an automated assistant.
- Asks what is wrong, the address, and how urgent it is.
- Gives the safe first step you wrote, such as closing the valve.
- Transfers a real emergency to your mobile, or leaves a message with the details.
The firm wakes up to a list of jobs with addresses and urgency instead of missed calls.
02 — Physiotherapy · Leipzig
Booking and confirming appointments by phone
A practice loses calls while the therapists treat. The agent books and moves appointments from your free slots, and calls patients about an appointment they made. It asks only for a name, a time and a number.
- Reads free slots through Cal.com and offers two.
- Books, moves or cancels as the caller asks.
- Offers a cancelled slot to the next person on your list.
- Hands prescriptions and clinical questions to the front desk.
Fewer calls go unanswered at the desk, and the therapist is not interrupted mid-treatment.
03 — Guesthouse · Garmisch-Partenkirchen
A night desk for hikers and guests who write in English
Guests arrive late from the mountain or ring from abroad. The agent answers in German or English in the accent you choose, gives check-in times, parking and the key box code you have approved, and logs requests for the morning.
- Answers in the language the caller starts in.
- Answers from the house guide in the knowledge base.
- Takes bookings and change requests and writes them down.
- Passes complaints and emergencies to the owner.
Late and foreign callers get an answer at any hour, and the owner reads a tidy list at breakfast.
04 — Property management · Frankfurt
Taking repair reports from tenants
Tenants ring about a broken lift, a cold radiator or a stuck door, often in the evening. The agent records the building, flat and fault, separates urgent from routine, and sends the urgent ones to the caretaker on duty.
- Asks for the address, the flat and the fault.
- Asks whether water, gas or heating is affected.
- Transfers urgent reports to the caretaker (on Plivo and Telnyx numbers).
- Writes routine reports to the transcript and outcome for the next working day.
The property manager sees every report with a building and a fault instead of a stack of voicemails.
05 — Car workshop · Cologne
Booking inspection and service appointments
Customers ring to book the inspection or a tyre change and ask whether their car is ready. The agent books from your calendar, notes the plate and the model, and answers opening-hours and waiting-time questions.
- Asks what the car needs and offers free slots.
- Notes the plate number and the model.
- Answers hours and directions from the knowledge base.
- Hands warranty or price disputes to the service adviser.
The service desk spends its time on cars, not on the phone.
06 — Restaurant · Munich
Group bookings for a beer garden and inn
Summer weekends bring calls from groups, works parties and families. The agent takes the date, number, any allergy and the contact name, offers the tables you have released, and passes large groups to the manager.
- Asks for date, time and the number of guests.
- Checks the free slots you have released in your calendar.
- Answers menu and allergen questions from the file you uploaded.
- Hands groups above your limit to the manager.
Bookings arrive in writing, with the allergy notes, before the evening rush.
07 — Solar installer · Dresden
Calling back people who asked to be called
A homeowner ticked a separate box on the web form asking for a phone call about a rooftop system. The agent calls on a weekday afternoon, says who is calling and why, offers to stop, and books a roof survey or a later callback. Section 7 UWG makes that tick the foundation; see the rules below.
- Calls only numbers with a documented, express yes to a phone call.
- States who is calling, that it is automated and why, and offers to stop.
- Asks about the roof, the use and the timing.
- Books a survey or schedules a callback the lead chose.
Leads who asked for a call get a prompt, polite one, and those who say not now are scheduled, not pushed.
08 — Travel agency · Berlin-Neukölln
Answering in Turkish and German
Many customers prefer to book flights and family trips in Turkish. The agent answers in Turkish or German, takes the travel dates, number of travellers and the destination, and leaves the quote to a consultant.
- Answers in Turkish or German, whichever the caller starts in.
- Asks for dates, travellers and destination.
- Answers opening hours and document questions from the knowledge base.
- Books a call with a consultant or takes a message.
Turkish-speaking customers reach someone in their language at any hour, and consultants get complete requests.
In practice
How voice ai is used in Germany.
- German businesses answer the phone in German, and customers expect "Sie" unless the brand is informal. Voice agents speak German, English in American, British, Australian, Indian and other accents and Turkish, among others; we make no claim about regional varieties such as Austrian or Swiss German.
- We found no reliable national figure on how often customers in Germany prefer the phone to WhatsApp or e-mail for a first contact, so we quote none; check your own call log.
- Phone numbers are your own: connect a +49 number you hold on a Twilio, Telnyx or Plivo account, or forward unanswered calls to one. We do not sell German numbers.
Plainly
What this will not do for you in Germany.
So you can rule it in or out before you start.
- It does not collect or check consent for advertising calls, and screens against no register; section 7 UWG puts that on you.
- Doctors, dentists, lawyers and tax advisers must consider section 203 StGB before patient or client calls go near an agent. We have not verified that our terms contain the secrecy undertaking it asks for.
- Transfer to a person and voicemail detection do not work on an imported Twilio number; use Plivo or Telnyx for those.
- We claim German, not Austrian, Swiss or dialect speech, and Arabic is voice only.
The rules
The rules that apply in Germany.
The rules differ by country and change; you are responsible for following them where you operate.
Outbound calls need prior express consent
Section 7(2) no. 1 of the Unfair Competition Act (UWG) treats an advertising call to a consumer without their prior express consent, or to another market participant without at least their presumed consent, as an unreasonable nuisance in every case; no. 2 requires prior express consent for advertising with an automatic calling machine. Section 7a requires you to document a consumer's consent when it is given and keep the proof five years from the consent and after each use. The Bundesnetzagentur can fine an unlawful advertising call to a consumer up to 300,000 euros (section 20), and says callers must show their number. We could not verify whether a voice agent counts as an automatic calling machine, so plan on the stricter view. We found no statutory calling-hours rule; the platform sets no window of its own, so you set hours for each campaign. Read the official text; not legal advice.
Recording, secrecy and data
Section 201 of the Criminal Code punishes recording another person's non-public spoken word without authorisation (up to three years' imprisonment or a fine); recording is a per-agent switch, off by default, so tell callers if you turn it on. Section 203 punishes listed professions that disclose secrets, and the professional who does not bind outside helpers to secrecy. We support region deployments for enterprise customers. Calls are also processed partly in other countries under transfer safeguards. Article 50(1) of the EU AI Act asks that people are told they are speaking to an AI unless obvious, from 2 August 2026 according to a law-firm summary; read the Regulation. Read the official text; not legal advice.
Read on 25 October 2026. Read the official text; this is not legal advice.
