Lead qualification · Spain
How does an AI agent qualify leads for a business in Spain?
It asks the questions you write into its prompt, in the lead's language, on the phone or on WhatsApp, then books a visit, schedules a callback or hands the lead to a person. Below are three conversations from Malaga, Barcelona and Valencia, the questions that matter when buying and renovating in Spain, and the rules for following up a lead who filled in a web form.
Example 1 · Inbound call
Can the agent qualify a foreign buyer who rings in English about a flat?
Yes. The caller is moving from the UK and has never bought in Spain; the agent asks about budget, financing and the NIE, and books a video viewing with an agent. The lead leaves the call with a slot and a clear next step.
- Name: Mark Hollis
- Need: Buy a 2-bed flat to live in, Teatinos
- Budget: About 280,000 euros, mortgage for about half
- NIE: Not yet
- Timing: Move next spring
Example 2 · Outbound follow-up call
Can the agent follow up a web-form lead who asked to be called, and accept a "not now"?
Yes. The lead ticked the box on the clinic's form asking for a phone call. The agent says who is calling and why, offers to stop, asks only what the booking needs, and schedules a callback in December instead of pushing. The call is held in Catalan and shown here in English.
- Name: Laia Serra
- Interest: Single implant, first consultation
- Timing: After the end of November
- Language: Catalan
- Contact: Phone, mornings
- Source: Web form asking for a call
Example 3 · WhatsApp
Can the agent qualify a renovation quote request on WhatsApp?
Yes. The customer wrote first from the firm's website button, so the agent can reply in the open conversation. It asks about the flat, ownership, budget and start date, then books a site visit. The chat is in Spanish and shown here in English.
- Need: Kitchen and bathroom renovation
- Place: Ruzafa, Valencia, third floor, no lift
- Owner: Yes
- Budget: 18,000 to 25,000 euros
- Start: January
Questions to ask
What should the agent ask a lead in Spain?
You write these into the agent's prompt, in your own words and in your customers' language.
| Question | Why it matters here |
|---|---|
| Which language would you like to continue in? | Spain is a multilingual market. Voice agents speak Spanish, Catalan, Basque, Galician and English, so asking first lets you use the lead's own language on a call. On WhatsApp and chat the agent replies in Spanish or English. |
| Do you already have an NIE, and will you pay cash or take a mortgage? | For foreign buyers of property, the tax number for foreigners (NIE) and the financing route decide how fast a purchase can move. It separates a serious buyer from a browser. The NIE rule is stated from general knowledge; ask your adviser. |
| Which neighbourhood or town, and which region? | Prices, permits and who can serve the customer differ between Madrid, Barcelona, Valencia, Seville, Malaga, Palma and Bilbao, and between autonomous communities. A lead outside your area should be told so early. |
| Do you own the place or rent it, and who else has to agree? | For works in a flat, the owner decides, and the building may have its own rules for noise hours and common areas. For rentals, a tenant usually cannot approve structural work. It saves a wasted site visit. |
| What budget range and what start date do you have in mind? | A range, not an exact figure, is enough to band the lead. Spanish buyers often compare several quotes ("presupuestos"), so timing tells you how quickly to move. |
| When and how should we contact you: phone, WhatsApp, mornings or evenings? | Many Spanish businesses close for a long midday break and customers answer late in the evening. Asking for the best time, and the channel the person is content with, avoids a wasted call and a complaint. |
Reading the outcome
Hot, warm or cold: what happens next.
The bands are the ones you describe in the prompt, then read off each call's outcome and transcript.
| Band | What it means | What you do next |
|---|---|---|
| Hot | Budget and timing fit, the person decides, and they accepted a visit, viewing or consultation. | Confirm the booked slot by message, send the address or link, and brief the person who will meet them. The bands are what you write into the agent's prompt, not a built-in score. |
| Warm | Real interest but not ready: waiting for money, a move date, a second quote or someone else's agreement. | Let the agent schedule the callback the lead chose, and send a short message with what you offer in the meantime. Do not call before the agreed date. |
| Cold | Outside your area, outside your budget range, only browsing, or asked not to be contacted. | Close politely with the information they asked for, add anyone who objected to your do-not-contact list at once, and do not contact them again. |
The rules
What the rules say about following up a lead in Spain.
Consent, do-not-call lists, calling hours and recording are set by local law, and you are responsible for them.
Calling someone who filled in a web form
The right not to receive unwanted commercial calls is in article 66.1.b of Ley 11/2022, the General Telecommunications Law. The data-protection agency (AEPD) explains in Circular 1/2023 (BOE, 28 June 2023) that such calls can rest on consent or on a legitimate interest you have weighed beforehand, that nothing is presumed if there is no current contract and no contact in the last year, and that you must say at the start of the call who you are, that it is commercial, and that the person may object, and act on any objection at once. A form where the person asks to be called is the strongest footing, but what the form said, the date and the wording are what you would have to show, so keep them. Anyone planning direct marketing must also consult the advertising exclusion systems such as the Lista Robinson first (article 23 of Ley Organica 3/2018, the LOPDGDD), unless the person has consented to your business. We could not verify how an AI voice agent is classified: automated calls sit under paragraph 66.1.a, which the Circular leaves out, so take advice and plan on the stricter view. The product does not screen against the Lista Robinson or collect consent; it gives you a do-not-contact list you keep. Read the official text; not legal advice.
Following up on WhatsApp
Article 21 of Ley 34/2002 (the LSSI-CE) forbids advertising or promotional messages by email or equivalent electronic means unless the person requested or expressly authorised them, with a narrow exception for your own customers and similar products, and every message must offer a simple, free way to opt out; article 20 requires commercial messages to be identifiable as such. A lead who writes to you first can be answered in that conversation. Writing first to someone who only filled in a form is different: ask on the form whether they want WhatsApp, and outside the 24-hour window use an approved template. A one-word STOP is honoured before the agent runs. Whether a given message is advertising is for your adviser. Read the official text; not legal advice.
Recording, hours and data
Tell people at the start of the call who you are and why, and, if you record, that the call is recorded: the Circular says to give the GDPR transparency information (articles 13 and 14) and recommends recording as proof of how you followed the rules. Recording is a per-agent switch, off by default, and the opening line is yours to write. The platform sets no calling window of its own; you set hours for each campaign on the called person's clock, and we did not find a national calling-hours rule in the texts we read, so ask your adviser whether a sector or regional rule applies. We support region deployments for enterprise customers. Calls are also processed partly in other countries under transfer safeguards. Clinics should know that health data is a special category under article 9 of the GDPR. Read the official text; not legal advice.

Local notes
What is different in Spain.
- Languages: voice agents speak Spanish, Catalan, Basque, Galician and English. For English-speaking buyers and residents you can choose among British, American and Irish accents, among others, from the voice library. We have not tested regional varieties such as Valencian, so have a local speaker listen first.
- Channel: WhatsApp is a natural place to follow up appointments and quotes in Spain. Chat and WhatsApp replies run in 37 languages, Spanish and English among them; Catalan, Basque and Galician are voice only, so a lead who writes in Catalan is answered in Spanish or English.
- Timing: set calling hours on the called person's clock and allow for the midday break many businesses take. August is a slow month for many people, so a callback in September may suit better than pushing. These are customs, not legal rules.
- Numbers: use your own Spanish number, imported from a Twilio, Telnyx or Plivo account you hold; we do not sell Spanish numbers. A resolution of 14 April 2026 (BOE, 16 April 2026) reserves the 400 range for outbound commercial calls by companies covered by Ley 10/2025; check whether it applies to you.
