WhatsApp automation use cases · Spain

How can businesses in Spain use WhatsApp automation?

WhatsApp automation in Spain works best for appointments, orders and enquiries that already arrive as messages: reminders by template, answers from your knowledge base and a shared inbox where your team takes over. Below are eight real situations, what the channel cannot do here, and the consent rules for messaging customers.

Eight use cases

How businesses in Spain use whatsapp automation.

Fictional businesses in real places, to show what the agent does with WhatsApp messages.

01 — Hair salon (peluqueria) · Seville

Reminding clients and letting them reschedule

Clients forget or want to move an appointment. A template reminder goes out to clients who agreed to receive messages, and the agent handles the reply.

  1. Sends an approved reminder template before the appointment.
  2. If the client replies to move it, offers the next free slots from the calendar.
  3. Confirms the new time and updates the booking through Cal.com.
  4. Hands to a person any request for a service the salon does not offer.

Reschedules happen in the chat instead of by phone, and the salon sees the thread.

02 — Online shop · Bilbao

Answering order-status questions

A small shop gets the same question daily: where is my order. The agent looks the order up and replies, and sends delivery updates as templates.

  1. Asks for the order number, or recognises the customer by phone number.
  2. Looks up the status in the shop through the order tools you connect.
  3. Replies in Spanish or English with the status and tracking.
  4. Passes returns and complaints to a person in the shared inbox.

Routine status questions are answered at once and the owner handles only the real problems.

03 — Gym · Madrid

Taking class bookings and trial sign-ups

Prospects ask about classes and trial sessions. The agent answers from the timetable and takes the sign-up through a WhatsApp Form.

  1. Replies to the first message with class types and times from the knowledge base.
  2. Sends a WhatsApp Form to collect name, class and preferred time.
  3. Books the trial slot and confirms it in the chat.
  4. Hands members with billing questions to the front desk.

Trial sign-ups arrive as completed forms rather than half-finished conversations.

04 — Language academy · Granada

Answering enrolment questions for new students

Students arriving in autumn ask about levels, dates and fees. The agent answers from the course guide, and the secretary takes over for enrolment.

  1. Answers level, schedule and location questions in Spanish or English from the course guide.
  2. Asks which language and level the student wants.
  3. Sends a follow-up sequence only to students who opted in.
  4. Passes the enrolment to the secretary in the shared inbox.

Prospective students get answers the same day, and the secretary starts from a written enquiry.

05 — Holiday-rental manager · Alicante

Sending check-in instructions before arrival

Guests need the address, key-box code and house rules before they arrive. A template message goes out with the details, and the agent answers follow-up questions.

  1. Sends an approved template with arrival instructions on the day before.
  2. Answers questions about parking, Wi-Fi and directions from the property guide.
  3. Asks which property the guest is in before answering.
  4. Alerts the manager for anything about a fault or an emergency.

Guests arrive with the right information and the manager is pinged only when something needs a person.

06 — Driving school (autoescuela) · Zaragoza

Sending class and exam reminders

Learners forget practical classes and exam dates. The school sends reminders to learners who agreed, and the agent handles changes.

  1. Sends an approved reminder before each class.
  2. Lets the learner confirm or ask to move it.
  3. Offers the next available time from the teacher's calendar.
  4. Passes questions about fees and paperwork to the office.

Fewer missed classes and the office stays out of routine rescheduling.

07 — Solar installer · Murcia

Collecting roof details for a quote

Homeowners ask about solar panels. The agent collects the details a technician needs through a WhatsApp Form and books the visit.

  1. Replies to the enquiry and sends a WhatsApp Form for address, roof type and electricity use.
  2. Asks for photos of the roof and meter in the chat.
  3. Books a technician visit through Cal.com.
  4. Hands the thread to the technician with the form answers.

The technician arrives knowing the roof and the household, and fewer visits are wasted.

08 — Estate agency · Malaga

Continuing a phone enquiry on WhatsApp

A foreign buyer rings, then prefers to carry on in writing. The same agent continues on WhatsApp, because the records are linked by phone number.

  1. Recognises the number and says it has spoken with the buyer by phone before.
  2. Withholds what was said on the call until the buyer verifies who they are.
  3. Sends viewing options and listing details from the knowledge base.
  4. Hands the buyer to an agent in the shared inbox when they want to make an offer.

The buyer does not repeat themselves, and the agent sees one history across the two channels.

In practice

How whatsapp automation is used in Spain.

  • We did not use a national figure for WhatsApp use in Spain; we found no figure we could source and date, so this page makes no claim about it. Many Spanish businesses already take bookings and questions on it, which is why these cases are built around messages.
  • Chat and WhatsApp replies run in 37 languages, Spanish and English among them. Catalan, Basque and Galician are voice only, so replies in those areas run in Spanish or English.
  • The official WhatsApp Business API runs inside our platform: templates, broadcasts, drip sequences, forms and a shared inbox where your team takes over. Meta's per-message rates apply, plus our fee.

Plainly

What this will not do for you in Spain.

So you can rule it in or out before you start.

  • The agent does not reply in Catalan, Basque or Galician on WhatsApp; it replies in Spanish or English.
  • No catalogue, checkout or WhatsApp Pay messages, and no sharing of one number with the WhatsApp Business App.
  • Templates are needed outside the 24-hour window and Meta reviews them; marketing messages need the person's permission.
  • We do not screen consent; the opt-in and the record of it are yours.

The rules

The rules that apply in Spain.

The rules differ by country and change; you are responsible for following them where you operate.

Opt-in and marketing messages

Article 21 of Ley 34/2002 (the LSSI-CE) forbids advertising or promotional messages by email or equivalent electronic means unless the person requested or expressly authorised them. There is a narrow exception for your own customers and similar products, provided you obtained the details lawfully and every message offers a simple, free way to opt out. Article 20 requires commercial messages to be identifiable as such, with the sender identified. Meta's WhatsApp Business Messaging Policy (last updated 23 September 2026, read 25 October 2026) says businesses may contact people only with their opt-in permission, and that the business is responsible for the method of opt-in and for securing all necessary notices and consents. A one-word STOP is honoured before the agent runs. Whether a given message is advertising is for your adviser. Read the official text; not legal advice.

Personal data in messages

The GDPR applies to what customers write to you, and the data-protection agency (AEPD) is the supervisory authority. Tell customers how their data is used, keep the agent from collecting more than it needs, and treat health information as a special category (article 9 of the GDPR) if you are a clinic. We support region deployments for enterprise customers. Read the official text; not legal advice.

Questions

Common questions.

Can the agent reply to WhatsApp messages in Spanish?

+
Yes. Spanish and English are among the 37 languages for chat and WhatsApp replies. Catalan, Basque and Galician are not.

Can I send promotions to customers in Spain?

+
Only with their permission, apart from a narrow exception for your own customers and similar products. Article 21 of the LSSI-CE and Meta's policy both apply; send broadcasts only to people who opted in.

Do I need WhatsApp Business App as well?

+
No, and the same number cannot be used in both. The WhatsApp Business API, templates, forms and inbox all work inside the platform.

Can my team take over a conversation?

+
Yes. The shared inbox lets anyone with access take over, and the agent stays quiet while they do.

Where is the data stored?

+
Each workspace keeps its data in the region it is set up in. We support region deployments for enterprise customers.
