AI Receptionist
AI Receptionist for Hair and Beauty Salons
Short answer: an AI receptionist answers the salon phone while every stylist has their hands full. It books the right service with the right person for the right length of time, moves and cancels appointments, answers price and service questions from your menu, and reminds colour clients about skin tests. Complaints, colour corrections and anything about a reaction go to a person.
Why is the salon phone so hard to answer?
The phone rings mid-blow-dry, mid-foil or mid-gel, and the stylist either stops or lets it ring. A missed booking call is often a client who books elsewhere that evening. The calls themselves are mostly predictable, which is what makes them suitable for an agent.
Which calls can it take?
| Call | What it does |
|---|---|
| "Can I book a cut and colour with Sam on Saturday?" | Checks Sam's diary for a slot long enough for both services and books it |
| "How much is balayage?" | Reads your price, including "from" wording and when a consultation is needed |
| New colour client | Explains your skin-test rule and books the test before the colour |
| Running late, moving or cancelling | Moves the booking and explains your cancellation policy |
| Bridal or group bookings | Takes the date, party size and services, then hands to the manager |
| Gift vouchers, products in stock | Answers from your information or takes a message |
| A reaction, a complaint, a colour that went wrong | Takes details with care and passes to a person |
What does a booking call sound like?
A salon in Clapham, London, on a Tuesday afternoon.
- Greeting. "Hi, you've reached Nola Hair. I'm the salon's booking assistant. What can I book for you?"
- The request. "A full head of highlights, please, I've never been before."
- Your rule. The agent follows what you wrote: "For a first colour with us we do a quick skin test at least 48 hours before. I can do the test on Thursday at 5 and the highlights on Saturday at 10 with Priya. Does that work?"
- The right length. Because your service list says highlights take three hours with Priya, the agent books three hours, not one.
- Details and policy. Name, mobile number, and your deposit and cancellation policy read in your words. Deposits are taken through your booking system's own checkout, never by reading a card number to the agent.
- Confirmation. A confirmation and later a reminder can go out as approved WhatsApp template messages to clients who agreed to receive them.
For this to work, the agent needs to reach your diary: through your salon software's API if it has one, or Cal.com with one event type per service. If your system cannot be connected, the agent takes the request and the client's preferred times, and your front desk confirms.
What goes in the knowledge base?
- Your service menu as a CSV: service, stylist level, duration and price, one row each.
- Who does what: which stylists do colour, extensions, lashes or brows.
- Skin-test, consultation, deposit and cancellation policies.
- Opening hours, late nights and holiday hours.
- Parking and how to find you.
- Who you serve: many UAE salons serve women only or men only, so say so, along with home-service areas if you offer them.
When should it hand over?
- Any mention of a reaction, burning, swelling or an injury.
- Complaints and colour corrections.
- Questions about aesthetic injectables or skin treatments that need a clinician.
- Bridal parties and group bookings above the size you set.
- Anyone who asks for a person.
On the phone this is a transfer, which works on imported Telnyx and Plivo numbers but not on an imported Twilio number. On WhatsApp the conversation moves to the shared inbox and the agent stops replying.
What rules apply?
A short pointer for your own checks, not legal advice. You are responsible for the rules that apply to your salon.
- Marketing: reminders about a booked appointment are different from promotions. Send offers only to clients who agreed, and keep a do-not-contact list. US salons should read TCPA before AI calls; UK salons, PECR and TPS.
- Client notes: allergy and skin-condition notes can count as health information under UK GDPR and similar laws, so store only what you need.
- Treatments: injectables and some skin treatments are medical procedures in the US, UK and UAE. The agent should book a consultation with the right person, not answer clinical questions.
- Data location: international workspaces store data in London. UAE salons should check the UAE's data protection law for client records.
Languages
A nail salon in Queens might hear Spanish, Korean and Mandarin in one afternoon; a ladies' salon in Dubai, Arabic, Filipino and English. Voice agents speak 50 languages and answer in the one the caller uses. Arabic is supported on calls; WhatsApp replies cover 37 languages, not including Arabic, though template messages can be written in Arabic.
Is it right for your salon?
It suits busy salons with a front desk that cannot always answer, and solo stylists who work alone. It is less useful if most clients already book online and rarely ring, or if your booking software cannot be connected and you would rather not confirm requests by hand.
What do you need to start?
Your salon number imported from Twilio, Telnyx or Plivo, your service menu with durations, and your policies. See the AI receptionist page, the UAE page, WhatsApp bookings for UAE salons, and pricing.
