Can an AI Receptionist Handle Calls and WhatsApp for a Small Business in Mexico?

Short answer: yes. One agent can answer your calls in Spanish or English and reply to the same customers on WhatsApp and website chat, with a shared inbox where your team can take over. It books appointments, answers questions from your own material and takes messages at any hour. It is a good fit for clinics, restaurants, repair shops and online stores whose phone and WhatsApp ring while the owner is busy. It is a poor fit if every enquiry needs a person's judgement.

Why do small businesses in Mexico lose enquiries?

The pattern is familiar: one phone number, usually also a WhatsApp number, answered by the owner or one employee between other tasks. A dentist in Guadalajara is mid-procedure; a taquería in Puebla is in the lunch rush; a mechanic in Monterrey is under a car. The call goes to voicemail or the WhatsApp message sits unread until evening, and by then the customer has asked someone else. We found no reliable national figure for how many Mexican customers prefer WhatsApp to a call, so do not take a number from us; look at your own inbox and call log.

What does the agent actually do?

  • Answers the phone in Spanish or English, from a voice library you can filter and listen to before you pick.
  • Replies on WhatsApp in 37 languages (Spanish and English included), inside the platform, with approved templates for reminders and confirmations.
  • Books and moves appointments in your calendar through Cal.com, or in your own system through its API.
  • Answers from your material: opening hours, menu, price list, delivery areas, what a treatment involves. It reads your website, files and pasted text.
  • Takes a message with the details you need and keeps a transcript you can read.
  • Hands over to a person when you tell it to, for example a complaint or an emergency (transfer works on Plivo and Telnyx numbers, not on an imported Twilio number).

The agent keeps one memory of each customer across channels, matched by phone number, so it can say "we've spoken on WhatsApp before". Records are linked, not merged, and the agent withholds what was said until the person verifies. See the AI receptionist page for the full picture.

What about Spanish, and what about accents?

Voice agents speak Spanish and English. We claim the language, Spanish, and not a Mexican accent of it: we have not published how each voice sounds to a Mexican ear. Ring your agent from the browser, read ten real questions from your own inbox including street names and surnames, and ask a Mexican colleague what sounded odd. Indigenous languages such as Nahuatl or Yucatec Maya are not supported, on the phone or in chat.

Can I keep my Mexican phone number?

Yes, if the number sits on a Twilio, Telnyx or Plivo account you hold, or you can port it or forward calls to one. We do not sell Mexican numbers, and international workspaces cannot rent one from us. If your number is with a Mexican carrier, the simplest start is call forwarding to a number on one of those accounts, so you can test before you move anything. For outbound calls on a Telnyx account, switch Mexico on in your outbound voice profile first; only the US and Canada are on by default.

What are the limits?

  • The agent follows the instructions and material you give it. If your knowledge base is thin, its answers will be too.
  • Callers with a strong accent or poor reception can still be misheard. Read the transcripts in the first weeks and fix what you find.
  • Billing is in US dollars by card, not pesos. See pricing.
  • WhatsApp has no product-catalogue or checkout messages in our platform, and it does not share a number with the WhatsApp Business App. Marketing messages go only to people who have agreed to receive them.
  • It does not replace a person for complaints, negotiation or anything clinical or legal. Tell the agent which calls go to you.

Which businesses should start with it?

The best first candidates are the ones whose calls are repetitive and time-sensitive: a clinic confirming and moving appointments, a restaurant taking bookings and answering menu questions, an online store answering delivery status, an estate agent qualifying viewing requests. A tourism business in Cancún or Oaxaca also gains from the English line, because visitors ring at odd hours. Start with after-hours and overflow calls, then widen.

How do I start?

  1. List the ten reasons customers ring or message, in order of how often they happen.
  2. Load your website, price list and house rules into the knowledge base.
  3. Pick a Spanish voice and an English voice, and ring the agent from your browser.
  4. Connect your WhatsApp number and write two or three templates (confirmation, reminder, follow-up).
  5. Forward your out-of-hours calls to the agent first, then widen to busy periods.
