Can an AI Receptionist Answer the Phone for a German Trade Business?
Short answer: yes. A voice agent can answer your business line in German, ask the questions you would ask, book a site visit in your calendar and leave you a message that says what the job is and how urgent. It works on the number you already have. It is a good fit for a heating, electrical, roofing or joinery firm whose master is on a job and whose phone rings anyway. It is a poor fit if every call needs a price on the spot, because the agent gives only the answers you load.
Why do trade businesses lose calls?
In a small firm the person who answers the phone is also the person up the ladder. A caller with a dripping radiator, a dead fuse box or a storm-damaged roof does not leave a voicemail; they ring the next firm on the list. The loss is not only the job but the customer who would have returned for years. An agent that answers every call, at 07:00 or 19:00 or on a Saturday, changes who gets the job.
What does the agent do on the call?
- Greets in German in the words you write, and says it is an automated assistant.
- Asks your questions: what is wrong, where (street, postcode, floor), how urgent, whether the caller owns the property or rents, and a number to ring back.
- Gives safe first advice you have written, such as turning off the water at the stopcock, and nothing beyond it.
- Books a site visit in your calendar through Cal.com, or takes a callback request when you want to decide yourself.
- Hands an emergency to you by a transfer to your mobile (works on Plivo and Telnyx numbers, not on an imported Twilio number), or by a message with the details.
- Leaves a transcript and outcome of every call.
What about the language, the dialect and "Sie"?
Voice agents speak German, and you choose the voice from a searchable library and listen before you pick. We claim German, not a regional variety, so we make no promise about Swabian, Bavarian or Saxon speech. A caller with a strong dialect or a bad line can still be misheard, which is why you should read the first fifty transcripts and correct the instructions. Write the greeting with "Sie", have a native speaker who does not work for you ring the agent, and add the street names and place names of your area to the knowledge base spelled as people say them. The agent can also answer in English, and in Turkish, Polish or Russian, which helps where a customer or a tenant speaks one of them at home.
Which jobs suit it and which do not?
| Call | Agent | You |
|---|---|---|
| Burst pipe, no heating, power cut | Takes address and urgency, gives the safe first step | Decide who goes and when |
| Quote request for a roof or a bathroom | Collects the details, books a site visit | Visit and price |
| Service or maintenance appointment | Books it from your free slots | Do the work |
| Invoice query or complaint | Takes a message and hands over | Answer personally |
| Price over the phone | Only what you have written | Anything else |
Can I keep my phone number?
Yes, if the number sits on a Twilio, Telnyx or Plivo account you hold, or you can port it or forward calls to one. We do not sell German numbers, and international workspaces cannot rent one from us. The easiest start is call forwarding when you do not pick up, so the agent only gets the calls you would have missed.
What about data and recording?
We support region deployments for enterprise customers. Calls are also processed partly in other countries, under transfer safeguards. You remain responsible for telling callers how their data is used. Recording is off by default; if you switch it on, section 201 of the Criminal Code makes recording another person's spoken word without authorisation an offence (read 25 October 2026), so say so in the opening line. The Germany page has the detail. This is not legal advice.
How do I start?
- List the ten reasons customers ring, in the order they happen.
- Write what the agent may say for each, and what it must hand to you.
- Load your website, service list and service area into the knowledge base.
- Ring the agent from your browser, then forward your unanswered calls to it.
