AI Receptionist for Plumbers, Electricians and HVAC Companies

Short answer: an AI receptionist answers every call while your team is on jobs. It sorts emergencies from routine work using your own list, reads your safety instructions word for word on gas and electrical calls, takes the address and the problem, and books a visit or a quote into your schedule. Calls that match your emergency rules go straight through to the on-call engineer; everything else waits for you with a transcript.

Which calls are emergencies, and who decides?

You do. The agent cannot judge a fault, so the most important thing you write is the emergency list. A typical one for a mixed plumbing, electrical and HVAC firm:

Caller saysAgent does
Smell of gasReads your safety line first (leave the property, no switches, call the gas emergency number), then takes details
Sparking, burning smell, scorched socketReads your electrical safety line, then transfers to the on-call electrician
Water coming through a ceiling, burst pipeAsks if they know where the stopcock or main shut-off is, then transfers
No heating in winter, no cooling in summer, with someone vulnerable at homeTreats as priority, offers the earliest slot or transfers
Dripping tap, new install quote, annual serviceBooks a visit or a quote, no transfer

The gas line differs by market, so write the right one: in the UK, the National Gas Emergency Service on 0800 111 999; in the US, 911 or the gas utility, called from outside; in the UAE, Civil Defence on 997.

What does a call sound like?

An air-conditioning company in Dubai, a July afternoon.

  1. Greeting. "Cool Air Technical Services, how can I help?"
  2. The problem. "Our AC stopped and my mother is at home." The agent asks the questions you wrote: which community or building, villa or apartment, and whether the building has central cooling.
  3. A useful filter. Many towers use district or central cooling run by the building. If your knowledge base says you do not service those, the agent tells the caller to contact building management, instead of booking a wasted visit.
  4. Priority. An elderly person in the heat matches your priority rule, so the agent offers today's earliest slot or transfers to the dispatcher.
  5. Booking. Through tool calling it books into your schedule: Google Calendar through Cal.com, or your field-service software through its API. A confirmation can go out as an approved WhatsApp template message.
  6. Photos. The customer can send a photo of the unit on WhatsApp to the same business; the same agent answers there, and the call and the chat sit together because the phone number matches.

The same flow works for a furnace that dies in Minneapolis in January or a boiler with no hot water in Leeds; only the words change.

What goes in the knowledge base?

  • Your service area by ZIP code, postcode or community, and what you do outside it.
  • Services you offer and the equipment or brands you work on, and what you do not touch.
  • How call-outs and quotes work, in your own words.
  • Normal hours and emergency hours.
  • Service plans and what they include.
  • What the customer should have ready: model number, a photo, access codes, parking.
  • Your safety lines, word for word.

When should the call go to a person?

  • Anything on your emergency list.
  • A customer whose engineer is late or has not arrived.
  • Disputes about work already done or an invoice.
  • Large commercial jobs you want a person to qualify.
  • The caller asks for someone by name.

Transfer works on imported Telnyx and Plivo numbers. An imported Twilio number answers and takes the details, but cannot put the call through.

Can it call customers too?

Yes. The same agent can ring existing customers about annual boiler services, autumn furnace tune-ups or pre-summer AC checks, using names and dates from a spreadsheet. You set the calling hours for each campaign, on the called person's clock; for US numbers, keep them inside 8am to 9pm local time, the TCPA window for telephone solicitations. A do-not-contact list you keep stops anyone on it from being called. Read the rules in TCPA before AI calls and PECR and TPS first.

What rules should you think about?

You are responsible for the advice your business gives and the work it does. This is a checklist, not legal advice.

  • Advice: keep repair instructions out of the agent's script. In the UK, gas work must be done by a Gas Safe registered engineer, and Part P of the Building Regulations covers much electrical work in homes in England and Wales; a caller should never be talked through either.
  • Licensing: in the US, contractor licensing is set by states and cities. Let the agent describe your licences only from what you write.
  • Building access: in the UAE, many towers and communities ask contractors for an access permit, so tell the agent to check whether the customer has arranged one.
  • Promises: do not let the agent promise arrival times you cannot keep; offer real slots from the schedule.
  • Recording: off by default. Some US states require everyone on a call to agree to recording, and in the UAE, record only with consent.

Where does it fit, and where not?

It suits owner-operators and small teams who lose work every time the phone rings mid-job, and growing firms that want consistent triage at night. A large dispatch centre with complex routing gets the most from it only if its scheduling software has an API. It is not the tool for quoting a price on a job that needs a site visit; let it book the visit instead. UK sole traders will find more detail in how UK tradespeople stop missing calls.

What do you need to start?

Your number imported from Twilio, Telnyx or Plivo, your emergency list and safety lines, your service area, and your schedule. See the AI receptionist page, the US, UK and UAE pages, and pricing.

FAQ

Frequently Asked Questions

How does an AI receptionist know a call is an emergency?

+
From the list you write: gas smells, sparking, water through a ceiling, no heat or cooling with someone vulnerable at home. It does not judge faults itself.

Can it give safety advice on a gas leak?

+
It reads the safety line you wrote, word for word, such as leaving the property and calling the gas emergency number for your country. It does not improvise advice.

Can it book jobs into my field-service software?

+
If the software has an API, yes, through tool calling. Otherwise it books into Google Calendar through Cal.com, or takes the job details for you.

Can it call customers about annual servicing?

+
Yes, with outbound campaigns built from a spreadsheet. You set the calling hours per campaign on the customer’s clock, and you are responsible for the calling rules in your market.

Can I keep my business number?

+
Yes, if it is on Twilio, Telnyx or Plivo: you import it from your own account. Renting US, UK or UAE numbers from us is not available.
