AI Receptionist
AI Receptionist for Property Management Companies
Short answer: an AI receptionist answers residents at any hour, sorts maintenance emergencies from routine repairs using the rules you write, logs each request with the unit, the problem and access details, and puts true emergencies through to your on-call manager. It answers building questions from your information, and it is set never to read out bank details or account balances to someone who has not been verified.
What do residents call about?
| Call | What the AI receptionist does |
|---|---|
| Leak, flood, no heat, no cooling, power out, gas smell, lockout | Follows your emergency rules: safety line first, then transfer to on-call |
| Routine repair: dripping tap, broken blind, appliance fault | Logs a work order with unit, problem, access and a photo request |
| "When is the plumber coming?" | Looks up the job through your system's API, or takes a message |
| Rent, service charges, payment methods | Explains how to pay from your information; never reads out bank details |
| Move-in, move-out, access cards, parking, amenity bookings | Answers from building information and books where connected |
| Noise and neighbour complaints | Takes the details for the manager |
| Prospective tenants | Answers about vacancies and books viewings |
What does a 2am leak call sound like?
A block of flats in south London, managed by a mid-sized firm.
- Greeting. "You've reached Thameside Property Management's out-of-hours line. I'm an automated assistant. Is this an emergency?"
- The resident. "Water is coming through my ceiling from the flat above."
- Safety line. Your wording: "If water is near lights or sockets, keep away from them and switch off the electricity at the consumer unit only if it is safe to do so." The agent reads it; it does not improvise.
- Details. Building, flat number, which room, whether the flat above is answering, and a contact number.
- Escalation. A leak matches your emergency rule, so the agent transfers to the on-call property manager, who already hears the building and flat in the summary.
- The record. A signed webhook or a call to your system's API creates the work order, and the transcript sits with it.
In a Phoenix apartment community in July, the emergency is no air conditioning; in a Dubai tower, it may be a district cooling fault that the building's facilities team handles, which your knowledge base can route correctly.
What goes in the knowledge base?
- Each building's details: address, stopcock and meter locations if you share them, bin days, parking, amenity rules.
- Your emergency definitions and the on-call rota or number.
- Contractors' coverage, so the agent knows which jobs it can book directly.
- How to pay rent or service charges, written as "pay through the resident portal", not as bank details.
- Move-in and move-out procedures, including permits UAE towers require.
- Topics to decline: rent arrears negotiations, deposit disputes, legal notices.
Why should it never read out bank details?
Payment diversion fraud often starts with a call or message asking for "the new account details". Put a line in the agent's instructions that it never gives bank details by phone and always points residents to the portal or documents they already have. For account balances, the same applies: callers are matched by phone number, but caller ID can be faked, so by default the agent will say it recognises the number but will not share account details until the person is verified.
When should it hand over?
- Anything on the emergency list.
- Requests for adjustments related to disability.
- Rent arrears, deposit disputes and notices.
- Harassment or safety concerns between residents.
Live transfer needs an imported Telnyx or Plivo number; on an imported Twilio number, an emergency becomes an urgent callback, so check that this suits your on-call arrangement before switching on.
What rules apply?
A pointer for your own checks, not legal advice. You are responsible for meeting your obligations to residents.
- US: habitability and repair timelines are set by state and local law. Fair housing law covers how you treat residents and applicants, including requests for reasonable accommodation, which should go to a person.
- UK: landlords have duties such as annual gas safety checks, and in England social landlords now face fixed timescales for investigating some hazards, starting with damp and mould and emergencies (Awaab's Law). The agent's job is to log every report accurately and fast, so the clock starts with a record.
- UAE: in Dubai, tenancies fall under RERA, and jointly owned buildings have their own rules for owners' associations and service charges. Keep disputes away from the agent and with your team.
Is it the right fit?
It suits property managers running an out-of-hours line, and teams whose daytime phone is mostly routine repair reports. If your property management software has no API, the agent still takes every request in full, but someone copies it across; a webhook into an automation tool may bridge that. A firm that needs a person to physically attend emergencies still needs that person: the agent only makes sure they hear about it.
What do you need to start?
Your maintenance number imported from Twilio, Telnyx or Plivo, your building information, emergency rules and on-call numbers. See the AI receptionist page, voice AI for real estate, the UK, US and UAE pages, and pricing.
