AI Receptionist
AI Receptionist for Restaurants: Reservations and Takeaway Calls
Short answer: an AI receptionist answers the phone during service, books, moves and cancels tables in your reservation system, and takes takeaway orders if your ordering or till system has an API it can write to. It answers menu, hours and allergen questions only from the information you give it, and sends large parties, complaints and anything it is unsure about to the manager.
Which calls does it take?
| Call | What the AI receptionist does | Needs |
|---|---|---|
| Table booking, change, cancellation | Checks availability for the party size and time, books and confirms | Reservation system with an API, or Cal.com |
| Takeaway or collection order | Takes items, options and collection time, reads the order back | Ordering or till system with an API |
| "Do you have vegan options?" "What time do you close?" | Answers from your menu and hours | Knowledge base |
| Allergen questions | Answers only from your written allergen information, otherwise hands over | Your allergen matrix |
| Large party, private dining, events | Takes date, size and budget wording, passes to the manager | Transfer or callback |
| "Where's my delivery?" | Explains: delivery-app orders go to the app; your own deliveries are looked up if connected | Your rules |
| Lost property, job applications, suppliers | Takes a message | Nothing extra |
Can it really take takeaway orders?
Yes, with a condition. To take an order end to end, the agent needs to write it into your ordering or till system through its API, so the kitchen sees it like any other order. With that connected, it reads items and options from your menu, confirms the collection time and reads the order back. Payment happens on collection or through your ordering system; the agent never takes card numbers.
Without an API, be honest with yourself: an agent typing orders into a message for a busy person to re-key on a Friday night creates errors. In that case, let it take reservations and questions, and point takeaway callers to your online ordering link, which a WhatsApp template message can carry.
What does a call sound like?
A neighbourhood restaurant in Manchester, Saturday at 7.15pm.
- Greeting. "Hi, you've reached Osteria Lupa. I'm the restaurant's booking assistant. Are you booking a table or ordering to collect?"
- The caller. "Table for four tonight, around eight, and one of us has a nut allergy."
- Availability. The agent checks your reservation system: eight is full, 8.30 is free. "I can do 8.30 for four. Shall I book that?"
- The allergy. It notes the allergy on the booking, then reads your line: "Our menu shows which dishes contain nuts, and please tell your server when you arrive so the kitchen can advise." It does not tell the caller a dish is safe.
- Confirmation. Name and number, and a confirmation by approved WhatsApp template if the guest agrees.
In New York, a call for a party of fourteen is passed to the events manager. In Dubai during Ramadan, the agent answers with your iftar timings and set menu, and takes bookings in Arabic or English on the phone.
What goes in the knowledge base?
- Your menu as a CSV, one dish per row with its price and dietary labels, so nothing gets separated.
- Your allergen information in the exact form your kitchen signs off.
- Opening hours, last orders, holiday and seasonal timings, such as Ramadan hours.
- Booking rules: table times, deposit policy for large parties, children, dogs, dress code.
- Parking, accessibility, nearest station.
When should it hand over?
- Parties above the size you set, and private hire.
- Allergen questions your written information does not answer.
- Complaints and refunds.
- Press and suppliers who need a decision.
On imported Telnyx and Plivo numbers the agent transfers to the manager; on an imported Twilio number it takes the details for a callback.
What food rules apply?
A pointer, not legal advice. You are responsible for the allergen and food information your restaurant gives.
- UK: food businesses must give allergen information for the 14 regulated allergens on food that is not prepacked. When food is ordered by phone for takeaway or delivery, the Food Standards Agency expects that information to be available before the order is placed and when the food arrives. That is why allergen answers should come only from your signed-off information.
- US: rules on allergen information for restaurant menus vary by state and city, and the FDA Food Code shapes local food safety rules. Keep allergen answers to what your kitchen has written.
- UAE: food safety is licensed by each emirate's municipality or food authority. Check what they expect for allergen information. Guest data falls under the UAE's data protection law.
Is it right for your restaurant?
It suits restaurants where the phone rings during service and nobody can step away, and places with lots of booking calls outside opening hours. If most bookings already arrive through an online platform and the phone rarely rings, the gain is smaller. For takeaway, it is only worth switching on if your ordering system can be connected.
What do you need to start?
Your restaurant number imported from Twilio, Telnyx or Plivo, your menu and allergen information, and access to your reservation system. See the AI receptionist page, voice AI for restaurants, the WhatsApp AI agent for bookings by message, and pricing.
