How Can Car Dealers Automate Service Reminder Calls?
Short answer: a dealer can automate service reminders by exporting the list of vehicles due from the DMS, writing one call script with each owner's name, model and due service filled in, and letting an AI voice agent call every owner in their own language. The agent offers open workshop slots, books the one the owner picks, sends the booking on WhatsApp, and hands the call to a service advisor when the owner needs one.
Why service reminders slip
Service revenue depends on owners coming back on time, but reminder calls are repetitive work that competes with everything else on the service desk. When the calls are made late, in the wrong language, or not at all, owners drift to a local garage. A voice agent makes every reminder call on schedule, in Hindi, Marathi, Tamil, Gujarati or any of the 22 scheduled Indian languages — including Hinglish, which is how most owners actually say "second free service".
How it works, step by step
- Export who is due. Your DMS already knows the last service date and the next service due. Export that list as a spreadsheet — owner name, phone, language, model, registration number, service due — or have your system place each call through the outbound call API.
- Write one script. The opening line and the agent's instructions are filled in per owner: "Namaste Sandeep ji, your Activa MH12 AB 1234 is due for its second free service — shall I book a slot?"
- Connect the workshop calendar. With tool calling, the agent reads open slots and writes the booking — Google Calendar through Cal.com, and your DMS or booking system can be connected through its API.
- The agent books on the call. It offers two or three slots, answers common questions from your knowledge base (what the service covers, how long it takes, pick-up and drop), and books the slot the owner chooses.
- Confirm on WhatsApp. The booking, the workshop address and the time go out as an approved WhatsApp template, and a reminder can follow the day before.
- Hand over to a person. A repair estimate, a complaint about the last service or an owner who asks for the service advisor is transferred to your team.
When the owner doesn't pick up — or says no
- Smart retry: a busy line is retried in minutes and an unanswered one after an hour or more. An owner who actively declined, or a dead number, is never re-dialled.
- Voicemail: the agent can detect voicemail and leave a short message instead (on Plivo and ThinnestAI numbers).
- Call me on Sunday: "call me back on the weekend" becomes a scheduled callback inside your calling hours.
- Sold the vehicle, or serviced elsewhere: the agent records it as the outcome, so your DMS list can be corrected instead of the owner being called again next month.
The rules to keep
- Outbound calls are time-boxed to 9am–9pm IST. Narrow the window further if you like, skip weekdays or holidays, and cap calls per hour so the workshop is not over-booked in one morning.
- Keep a do-not-contact list — anyone on it is never called again.
- Write the greeting so the owner knows which dealership is calling and why. The agent does not announce itself automatically; that is up to the script.
- Every call gets a transcript and an outcome. Recording is a per-agent switch, off until you turn it on.
The same agent for the rest of the service desk
The agent that makes reminder calls can also answer the workshop's own number and WhatsApp — "is my car ready?", "what time do you close?" — and it recognises an owner who calls back after a reminder by their phone number. Test-drive booking and lead follow-up work the same way.
What you need to start
An Indian phone number (buy one in the console, or import your own Plivo, Twilio or Telnyx number), the list of vehicles due, and your workshop calendar. The automotive page has full call flows, voice campaigns explains outbound calling, and tool calling shows how the agent books into your calendar.
