Agencies
How Do Agencies Price an AI Receptionist Service?
Short answer: most agencies charge a one-off setup fee plus a monthly plan that includes a block of call minutes, with a per-minute rate for anything beyond it. Some charge a straight per-minute price with a markup instead. Whichever you choose, start from your real cost per client (platform usage, the phone line, WhatsApp charges and your own hours), price on the value of answered calls, and keep enough margin that a busy month does not wipe out your profit.
What costs does each client create?
List these before you set a single price:
- Platform usage. Voice minutes and chat replies, charged to your balance at the platform's prices. On ThinnestAI our prices are on the pricing page; you set your own for clients.
- The phone line. Outside India, the client's number sits on their own Twilio, Telnyx or Plivo account, so they usually pay their provider directly. Decide whether you pass that through or leave it with them.
- WhatsApp. Meta charges for business messages at its published rates, and platforms add their own fee. Template-heavy clients, such as those sending reminders, create this cost.
- Your time. Building the agent, monthly tuning, reports and change requests. This is the cost agencies forget most often.
- Risk. A client whose call volume doubles in a busy season, on a plan that does not charge for the extra minutes.
Which pricing models do agencies use?
| Model | How it works | Good for | Watch out for |
|---|---|---|---|
| Per-minute markup | Client pays a rate per minute; you keep the difference over your cost | Clients with unpredictable volume; easy to explain | Small, quiet clients earn you little for the same support work |
| Monthly plan with included minutes | A fixed monthly fee covers a block of minutes, with overage beyond it | Predictable income; most small businesses | Set overage high enough that heavy months stay profitable |
| Tiered plans | Two or three plans by volume or features (for example, phone only versus phone plus WhatsApp) | Upselling as clients grow | Too many tiers slow down the sale |
| Setup fee | One-off charge for discovery, build and testing | Paying for the real work of week one | A high fee blocks small clients; consider spreading it |
| Managed service retainer | A monthly fee for tuning, reporting and changes, on top of usage | Clients who want you to run everything | Define what is included, or the hours grow |
How do you set the numbers?
- Estimate volume. Ask for a month of call logs from the client's phone provider. Count calls, and estimate an average call length; most receptionist calls are short.
- Work out your monthly cost. Expected minutes times your cost per minute, plus chat and WhatsApp usage, plus the line if you pay it, plus your hours at your own hourly rate.
- Add a buffer for variance. Volume moves with seasons and campaigns. Price the plan on a busier month than the average.
- Check it against value. What does the client lose from a missed call, and what do they pay today for an answering service or a part-time receptionist? Your plan should be an easy decision against those.
- Set overage. Charge for minutes beyond the plan at a rate that keeps your margin, so a busy month is good news for both sides.
How should you package it?
- Name plans by outcome, such as "After-hours", "All calls" and "All calls plus WhatsApp", not by minutes alone.
- Put the setup in writing: what discovery covers, how many test rounds, and when it goes live.
- Separate outbound work. Reminder and follow-up campaigns use more minutes and carry consent rules; price them as their own line.
- Choose a term. Monthly rolling is easier to sell; a minimum term protects your setup effort. Some agencies waive the setup fee for a longer term.
How do clients pay you?
On a white-label platform, clients should pay you directly. On ThinnestAI they pay your prices into your own payment account, by card checkout (in India, through your own Indian payment account). They can buy your plans and set up automatic top-up, so their agent does not stop for want of credit. Their usage is charged to your balance at our prices, and the difference is yours.
What mistakes eat agency margin?
- Unlimited minutes. One busy client can cost more than they pay.
- Unpriced changes. Weekly change requests on a plan with no support allowance turn into unpaid work.
- Forgetting WhatsApp charges. A client sending reminder templates to their whole list creates message charges every month.
- An empty balance. If your own balance runs out, every client's calls stop until you top up. Keep a buffer and use automatic top-up yourself.
- Pricing in the wrong currency. If you sell in pounds or dirhams but pay your platform in another currency, build in room for exchange-rate moves. International ThinnestAI accounts are billed in US dollars.
