How Can Logistics Companies Confirm Delivery Slots Before Dispatch?

Short answer: call each consignee before the shipment is dispatched. Your warehouse or order system sends the shipment to an AI voice agent through the outbound call API (or as a campaign sheet for the next day's dispatch), and the agent offers the available slots, confirms the address and a landmark, and checks someone will be there to receive it — in the customer's language. The chosen slot and any address change go back to your system on a signed webhook before the route is planned.

Why confirm before dispatch

A delivery attempt where nobody is home, or the driver can't find the address, costs a full trip and usually a second one. Most of these are knowable the day before: the customer is travelling, the office is closed on Saturday, or the address is missing a landmark. A short call before the parcel leaves the hub turns those into a rescheduled slot or a corrected address instead of a failed attempt.

How it works, step by step

  1. The shipment is ready. Your WMS or order system calls the outbound call API with the consignee's name, phone, address, order reference and the slots available on that route — or you upload the next day's dispatch list as a voice campaign, one row per shipment.
  2. The agent calls. In the customer's language, with the order filled in: "Namaste Rahul ji, aapka order kal deliver hona hai. Subah 10 se 1 ya dopahar 2 se 6 — kaunsa time theek rahega?"
  3. It checks the address. The agent reads back the address, asks for a landmark if it is thin, and notes a different drop-off point if the customer gives one.
  4. It confirms payment if needed. For a cash-on-delivery order, it confirms the amount and that cash will be ready.
  5. The result goes back to you. Slot chosen, address updated, reschedule requested, cancelled or unreachable — sent on a signed webhook with the transcript, so the shipment is routed, held or updated.
  6. A person takes the exceptions. A customer who wants to change the order or raise a complaint can be transferred to your support team.

Customers who don't answer

  • Smart retry: a busy line is retried in minutes, an unanswered one after an hour or more — never a number that declined or doesn't exist.
  • Callbacks: "call me after seven" becomes a scheduled call inside your calling hours.
  • WhatsApp: a customer who can't talk can confirm the slot on WhatsApp instead, and the agent there knows about the call.
  • A rule for the rest: decide in your own system what happens to a shipment nobody confirms — ship it in the default slot, or hold it for one more attempt.

Calling at volume

  • Number pooling: calls go out from a set of numbers, with the same number kept for the same customer, so no single number gets flagged as a spam dialler.
  • Pacing and hours: cap calls per rolling hour, restrict weekdays in the customer's timezone, and skip holidays. Outbound calls are time-boxed to 9am–9pm IST.
  • Call outcomes: the console shows the connect rate, average talk time and why calls failed — busy, declined, unreachable or voicemail.
  • Keep a do-not-contact list for anyone who asks not to be called.

What you need to start

A phone number, a hook from your WMS or order system, and a short script. The logistics page has the full delivery call flow, voice campaigns covers pacing and retries, and tool calling explains how the agent can look up live slots in your system during the call.

FAQ

Frequently Asked Questions

How does an AI agent confirm a delivery slot?

+
It calls the consignee before dispatch, offers the slots you pass in for that route, confirms the address and that someone will be there, and sends the chosen slot back to your system on a signed webhook.

Can it work with our warehouse or order system?

+
Yes. Your system places each call through the outbound call API and receives the outcome on a signed webhook; Shopify is also a ready integration for order status and tracking.

What if the customer does not pick up?

+
Busy lines are retried within minutes and unanswered calls an hour or more later; the customer can also ask for a callback at a set time, or confirm on WhatsApp.

Which languages can the agent call customers in?

+
All 22 scheduled Indian languages, including Hinglish code-switching.
