How Can Restaurants Take Table Bookings on WhatsApp and Phone?
Short answer: connect one AI agent to the restaurant's phone number and WhatsApp, and give it access to where you keep bookings — Google Calendar through Cal.com, or your reservation system through its API. When a guest calls or messages, the agent asks for the date, time and party size, checks what is free, books the table and confirms it, in the guest's language. Large parties, complaints and anything unusual go to the manager.
Why bookings get lost
Guests call when they are thinking about dinner — which is exactly when the floor is busiest and nobody can get to the phone. A WhatsApp message sent at the same time waits until someone checks. Every unanswered call or message is a table that may go to someone else, or a guest who books elsewhere.
How it works, step by step
- Connect your bookings. With tool calling, the agent reads free slots and writes bookings. Cal.com is a ready integration and syncs with Google Calendar; a reservation system with an API can be connected the same way.
- Add what guests ask about. Your menu, timings, location, parking and policies go into the knowledge base — a CSV menu keeps each price with its dish, and a PDF works if it has a text layer (scanned menus need typing out).
- A guest calls or messages. "Table for six tomorrow at 8?" The agent asks for anything missing — name, party size, seating preference — and checks availability while the guest waits.
- The table is booked. If 8 is full, the agent offers the nearest free times and books the one the guest picks.
- Confirmation on WhatsApp. In a WhatsApp chat the agent confirms in the conversation; for a phone booking it sends the details as an approved WhatsApp template.
- A reminder before the visit. A reminder message or call on the day — an outbound call stays inside 9am–9pm IST — gives guests an easy way to cancel or move the table, so it can be offered to someone else.
Edge cases worth deciding up front
- Large or special bookings: set a party size above which the agent takes the details and hands over to the manager — on the phone by transferring the call, on WhatsApp through the shared inbox.
- Complaints and refunds: keep these with a person. The agent can transfer the call or pass the chat to your team, and it stops replying once someone takes over.
- Changing a booking: a guest who booked on WhatsApp and then calls is recognised by phone number. The agent can look the booking up in your system through tool calling and move or cancel it.
- Allergies and food safety: the agent answers only from what you give it. Write your allergen information into the knowledge base, and route anything you are not sure of to a person.
Languages
The agent replies in all 22 scheduled Indian languages, including Hinglish, and one knowledge base serves every language — so a menu written once in English can be explained in Kannada or Bengali.
What you need to start
A phone number (buy one in the console, or import your own), a WhatsApp Business number connected through Meta, and your booking calendar. See the restaurants page for full call flows, WhatsApp AI agent for the chat side, and tool calling for how bookings are written into your calendar.
