WhatsApp automation use cases · Canada

WhatsApp automation use cases for businesses in Canada

The official WhatsApp Business API runs inside the platform: approved templates, a shared inbox and an agent that replies in English or French, with a person taking over when needed. WhatsApp is one channel among several in Canada, so these eight use cases focus on businesses whose customers already use it.

Eight use cases

How businesses in Canada use whatsapp automation.

Fictional businesses in real places, to show what the agent does with WhatsApp messages.

01 — Dental clinic · Toronto

Appointment reminders for newcomers

Patients who are new to Canada often prefer WhatsApp. The clinic sends confirmations and reminders by approved template, and patients reply to confirm or move.

  1. Send a reminder template to patients who agreed to messages.
  2. Read the reply: confirm, move or cancel.
  3. Offer new slots through Cal.com.
  4. Hand insurance questions to reception.

Fewer no-shows and a shorter list of reminder calls for reception.

02 — Dental clinic · Montréal

First-contact replies in French on a Montréal clinic line

A new resident writes in French and expects an answer in French. The agent replies in French, offers English and books a first visit.

  1. Detect the language and reply in it.
  2. Ask routine or urgent, and whether they have insurance.
  3. Book a first visit and send a confirmation template.
  4. Hand clinical questions to the team.

New patients are served in French at once, which fits Quebec's expectations for service in French.

03 — Renovations · Ottawa

Quote requests with photos for a renovation company

Homeowners send photos of a room and a rough idea. A WhatsApp Form gathers the room, size, scope and budget range, and an estimator replies with a visit slot.

  1. Send a form for room, scope and budget range.
  2. Ask for photos in the chat.
  3. Place the request in the shared inbox for the estimator.
  4. Book a visit and send a confirmation template.

Estimators visit with the scope in hand, and unfit requests get a polite reply.

04 — Property manager · Vancouver

Replying to rental and sales enquiries

Tenants and prospects ask about listings, viewings and pet policy. The agent answers from the listing information and books viewings.

  1. Answer from the listing details you loaded.
  2. Ask move-in date, household size and budget.
  3. Book a viewing through Cal.com.
  4. Hand lease questions to a person.

Prospects get a reply in minutes, and agents attend only qualified viewings.

05 — Lawn and snow service · Winnipeg

Service reminders for a seasonal business

Before winter the company messages customers who opted in to book their snow-clearing contract. Replies go to the agent or a person.

  1. Select customers who opted in.
  2. Send an approved template with the booking link.
  3. Answer questions on service area and schedule.
  4. Honour every stop request at once.

Contracts are booked in the weeks before the first snow rather than during it.

06 — Restaurant · Halifax

Walk-in and online orders for a restaurant

Customers ask about opening hours, allergens and group bookings. The agent answers from the menu and takes group booking details through a form.

  1. Answer menu and allergen questions from the uploaded menu.
  2. Send a booking form for groups.
  3. Pass large groups to the manager in the inbox.
  4. Send a reminder template the day before.

The kitchen keeps cooking while questions are answered, and group bookings are tidy.

07 — Physiotherapy · Calgary

Reminders and follow-ups for a physiotherapy clinic

Between visits, patients are sent exercise reminders and invited to rebook. The agent handles the rebooking.

  1. Send a follow-up template to patients who agreed.
  2. Offer next available slots through Cal.com.
  3. Move or cancel on request.
  4. Hand any clinical question to the team.

Patients return for the visits they were meant to have.

08 — Auto repair shop · Edmonton

A customer who rings and then writes in

A customer rings about a repair and later messages on WhatsApp for the quote. The agent has one memory by phone number: it recognises the call and withholds details until the person verifies.

  1. Match the WhatsApp number to the earlier call record.
  2. Say 'we've spoken before' without revealing what was said until verified.
  3. Send the quote and book the slot.
  4. Hand disputes to a person.

The customer does not repeat themselves, and the shop keeps one thread of context.

In practice

How whatsapp automation is used in Canada.

  • We found no reliable national figure for WhatsApp use in Canada, and phone, text and web chat are all common, so the use cases suit businesses whose customers already use it, such as newcomer and international communities.
  • Replies run in 37 languages, including English and French, and Punjabi, Hindi, Spanish, Urdu, Tamil and Bengali among others.
  • The official WhatsApp Business API runs inside the platform, with a shared inbox for your team, so day-to-day work does not need Meta's WhatsApp Manager.

Plainly

What this will not do for you in Canada.

So you can rule it in or out before you start.

  • No product catalogue, checkout or WhatsApp Pay messages in our platform.
  • A number on the API cannot also be used in the WhatsApp Business App at the same time (no coexistence).
  • Business verification and Meta's payment card stay in Meta's own tools; templates are reviewed by Meta, which can reject them.
  • Mandarin and Cantonese are voice languages but not among the 37 chat reply languages.

The rules

The rules that apply in Canada.

The rules differ by country and change; you are responsible for following them where you operate.

Meta's rules: opt-in and templates

The WhatsApp Business Messaging Policy (read at whatsappbusiness.com/policy on 25 October 2026) says businesses may contact people only with opt-in permission from the recipient, must honour requests to block, discontinue or opt out, and may initiate conversations only with an approved Message Template; outside the 24-hour customer service window only approved templates can be sent. Meta's systems may limit how many messages a business can send. Read the official text; not legal advice.

CASL and privacy

Canada's anti-spam law prohibits sending a commercial electronic message to an electronic address, which includes email, instant messaging and telephone accounts, unless the recipient has consented, expressly or impliedly, and the message identifies the sender and offers an unsubscribe mechanism (section 6, Justice Laws website, read 25 October 2026). Maximum penalties are 1,000,000 dollars for an individual and 10,000,000 dollars for anyone else per violation. Messages sent in response to a request or inquiry are excluded by section 3(b) of the Electronic Commerce Protection Regulations. Whether a given WhatsApp message counts is a question for your adviser. PIPEDA covers personal information in commercial activity. We support region deployments for enterprise customers. Questions

Common questions.

Can the agent reply on WhatsApp in French?

+
Yes. Replies run in 37 languages, and English and French are both among them. A person can take over from the shared inbox at any time.

Does CASL apply to WhatsApp messages?

+
CASL covers commercial electronic messages sent to email, instant messaging and telephone accounts. Whether a given WhatsApp message counts is for your adviser; plan as if it does and get consent first.

Do I need to use Meta's WhatsApp Manager?

+
Not for day-to-day work: templates, broadcasts, forms and the inbox run inside the platform. Business verification and Meta's payment card stay in Meta's own tools.

Can I send promotions to my customer list?

+
Only to people who opted in, using approved templates, and in line with CASL. Keep a record of when and how each person agreed.

Where is the data stored?

+
Each workspace keeps its data in the region it is set up in. We support region deployments for enterprise customers, who can ask for a deployment in their own region.
