WhatsApp automation use cases for businesses in Ireland
The official WhatsApp Business API runs inside the platform: approved templates, a shared inbox and an agent that replies in English and 36 other languages, with a person taking over when needed. These eight use cases come from guesthouses, clinics, trades and shops in Dingle, Dublin, Cork and Galway.
Eight use cases
How businesses in Ireland use whatsapp automation.
Fictional businesses in real places, to show what the agent does with WhatsApp messages.
01 — Guesthouse · Dingle
Qualifying a wedding-weekend group booking
A group asks about five rooms for a wedding weekend. The agent takes dates, rooms, breakfast and dietary needs, and hands the enquiry to the owner to confirm the rate.
- Ask dates, rooms and number of guests.
- Record breakfast and dietary needs.
- Hand the enquiry to the owner in the inbox with every detail.
- Send a confirmation template once the owner approves.
The owner confirms group bookings from a complete record.
02 — Dental practice · Dublin
Appointment confirmations and reminders
The practice sends a reminder the day before using an approved template; patients reply to confirm, move or cancel.
- Send a reminder template to patients who agreed to messages.
- Read the reply: confirm, move or cancel.
- Offer new slots through Cal.com.
- Offer a cancelled slot to the next patient.
Fewer empty chairs and fewer reminder calls for reception.
03 — Electrician · Galway
Capturing a job description with photos
Customers message a fault and send photos. A WhatsApp Form gathers the Eircode, the problem and the preferred day, and the electrician replies with a visit slot.
- Send a form for Eircode, fault and preferred day.
- Ask for photos in the chat.
- Place the request in the shared inbox.
- Book a visit and send a confirmation template.
Jobs arrive with the address and the problem described, so visits are planned better.
04 — Estate agent · Waterford
Replying to viewing enquiries
Enquiries from property portals arrive on WhatsApp. The agent answers questions about the listing, asks budget and timing, and books viewings.
- Answer from the listing information.
- Ask the questions you wrote: budget, move-in date.
- Book a viewing through Cal.com.
- Schedule a follow-up for leads who are not ready.
Prospects get a useful reply at once and negotiators meet the ready ones.
05 — Bakery and shop · Cork
Order and collection updates for a bakery and shop
Customers ask whether a cake order is ready. The agent answers from the order information and sends a collection template when it is done.
- Recognise the customer by phone number.
- Answer status from your order information.
- Send a ready-for-collection template.
- Hand special requests to a person.
The counter stops being interrupted by 'is my order ready?' calls.
06 — Sports and physiotherapy clinic · Sligo
Class and session rebooking
Patients message to move a session. The agent offers the next open slots and confirms the change.
- Identify the patient and the booked session.
- Offer the next slots with space.
- Confirm and send a reminder template.
- Pass clinical questions to the team.
Rebooking takes a minute, and the schedule stays full.
07 — Language school · Dublin
Broadcasting open evenings to people who opted in
The school sends an approved template about its autumn open evening to enquirers who agreed to hear from it. Replies go to the agent or a person.
- Select only people who opted in.
- Send an approved marketing template.
- Answer questions from the knowledge base.
- Honour every stop request at once.
Only people who agreed hear from the school, and the open evening fills with interested families.
08 — Hotel and restaurant · Killarney
A customer who rings and then writes in
A guest rings about a table and later messages on WhatsApp to change the time. The agent has one memory by phone number: it recognises the call and withholds details until the person verifies.
- Match the WhatsApp number to the earlier call record.
- Say 'we've spoken before' without revealing what was said until verified.
- Move the booking in the calendar.
- Send the new time as a confirmation template.
The guest does not repeat themselves, and the hotel keeps one thread of context.
In practice
How whatsapp automation is used in Ireland.
- We found no reliable national figure for WhatsApp use in Ireland, and a call or text is often preferred, so test it with your own customers.
- Replies run in 37 languages, including English, Polish, Spanish, French and Portuguese; Irish (Gaeilge) and Ukrainian are not among them.
- The official WhatsApp Business API runs inside the platform, with a shared inbox for your team, so day-to-day work does not need Meta's WhatsApp Manager.
Plainly
What this will not do for you in Ireland.
So you can rule it in or out before you start.
- Irish (Gaeilge) is not supported in chat or on the phone.
- No product catalogue, checkout or WhatsApp Pay messages in our platform.
- A number on the API cannot also be used in the WhatsApp Business App at the same time (no coexistence).
- Business verification and Meta's payment card stay in Meta's own tools; templates are reviewed by Meta, which can reject them.
The rules
The rules that apply in Ireland.
The rules differ by country and change; you are responsible for following them where you operate.
Meta's rules: opt-in and templates
The WhatsApp Business Messaging Policy (read at whatsappbusiness.com/policy on 25 October 2026) says businesses may contact people only with opt-in permission from the recipient, must honour requests to block, discontinue or opt out, and may initiate conversations only with an approved Message Template; outside the 24-hour customer service window only approved templates can be sent. Meta's systems may limit how many messages a business can send. Read the official text; not legal advice.
Irish rules: consent and GDPR
The Data Protection Commission's FAQ (read 25 October 2026) says marketing emails and texts to individuals require clear consent in advance, and that sending them without it is an offence; businesses are treated differently and can receive them until they ask the sender to stop. Treat WhatsApp marketing messages the same way. We support region deployments for enterprise customers. Read the official text; not legal advice.
