How Can Hotels, Holiday Rentals and Restaurants in Spain Use AI Call Answering?

Short answer: set the agent up to do four things: answer in the guest's language at any hour, take reservations and requests, answer the questions you get every day from your own material, and hand urgent calls to a person. It suits hotels, holiday-rental managers and restaurants in Spain because their callers are often foreign, the busiest times coincide with staff being busiest, and a missed call is often a lost booking. It should never be left to improvise on prices, availability or safety.

What goes wrong with the phone in hospitality?

Calls arrive when nobody can pick up: the lunch service, check-in rush, a cleaning turnover, the middle of the night in a different time zone. Guests ring about arrival times, parking, keys, airport transfers, allergens and booking changes. Many are not Spanish speakers. Voicemail in Spanish only loses the booking; an agent that answers in the guest's language keeps it.

How should a hotel set it up?

  • Greeting: name of the hotel, that it is an automated assistant, and that it can help with bookings and questions.
  • Knowledge: check-in and check-out times, breakfast hours, parking, pets, airport directions, local recommendations, and your cancellation policy in your own words.
  • Requests, not promises: taxi, extra bed, late arrival. The agent records the request with name, dates and room and passes it to reception, which confirms. Do not let it promise anything it cannot see.
  • Handover: complaints, anything medical or about safety, and any call where the guest asks for a person. Transfer works on Plivo and Telnyx numbers, not on an imported Twilio number; on those, the agent takes a message and flags it.

The check-in paperwork is separate work. In Spain, accommodation providers have traveller-registration duties towards the Ministry of the Interior (Real Decreto 933/2021, which the Ministry points to on its website; read the official text for the detail). The phone agent should not collect passport numbers; leave that to your usual check-in process.

What about holiday-rental managers?

Guests ring about directions, key boxes, Wi-Fi, heating, bins and what to do if something breaks. Put the property guide into the knowledge base, one entry per property, and tell the agent to ask which property the caller is in before answering. Emergencies, such as a water leak or a lock-out, need a route to a person; set the agent to take the property, name and number and flag it to you straight away. Local licensing rules for tourist rentals differ by region and have been changing, so make the agent repeat only what you give it and never state a licence or registry number it was not given.

What about restaurants?

A restaurant has two kinds of call: reservations and questions. For reservations, connect a calendar (Google Calendar works through Cal.com) or your booking system through its API, and tell the agent your table sizes, the cut-off for same-day bookings, and your rules for large groups. For questions, upload the menu and the allergen information. Allergens deserve strict wording: tell the agent to read answers from the menu word for word and to say it cannot confirm anything else. The related post on AI receptionists for restaurants covers the booking flow in detail.

How do the languages work?

Voice agents speak Spanish and English, plus French, German, Italian, Portuguese, Dutch and many more, which covers most visitors. Catalan, Basque and Galician are voice languages too. Test each with a native speaker; the post on Spanish, Catalan, Basque and Galician explains how. Chat and WhatsApp replies run in 37 languages, Spanish and English among them.

What should you check before you go live?

  1. Ring it as a guest would, in at least two languages, and read the transcripts.
  2. Ask it three things it should not know, such as tomorrow's room availability, and check that it says it will ask a person.
  3. Decide who reads the messages the next morning, and by when.
  4. Tell guests in the greeting that the call may be recorded if you switch recording on. It is off by default.

Bring your own number: a Spanish number on a Twilio, Telnyx or Plivo account you hold, or forward your calls to one. See the Spain page, the AI receptionist page, and restaurants for the industry view.

FAQ

Frequently Asked Questions

Can the agent take hotel bookings?

+
It can take a booking request or write into a calendar or booking system through its API. Confirmation of availability and price should come from your own system, not from the agent's guess.

Which languages will guests be answered in?

+
Voice agents speak Spanish, English, Catalan, Basque, Galician, French, German, Italian, Portuguese, Dutch and many more. Chat and WhatsApp replies run in 37 languages.

What happens in an emergency call?

+
You tell the agent which calls need a person. It transfers on Plivo and Telnyx numbers, or takes the details and flags the call to you. Guests who are in danger should be told to ring 112 in the greeting you write.

Does it collect guest ID for the traveller register?

+
No, and it should not be set up to. Spain's traveller-registration duties are a separate check-in process. Read the official rules.

Can it answer allergen questions?

+
Only from the menu and allergen information you upload, repeated word for word. Tell it to say it cannot confirm anything else and to pass the call to a person.
