AI Phone Answering for US Small Businesses: A Buyer’s Guide

Short answer: AI phone answering suits US small businesses whose calls repeat: hours, prices, availability, bookings and messages. It answers every call, books into your calendar, takes detailed messages and passes urgent calls to you. Judge it with a two-week trial on real calls, check it can use your existing number, set up recording to match your state's consent law, and treat any outbound calling as a TCPA question before a technology one.

How should you run a two-week trial?

  1. Day 1: build the agent from your website, price list and FAQs. Write a greeting that says the business name.
  2. Day 2: make ten test calls yourself: a price question, a booking, a reschedule, a question it should not know, an angry caller and a request for a person.
  3. Days 3 to 7: put it on after-hours calls only. Read every transcript each morning and fix wrong answers the same day.
  4. Days 8 to 14: add daytime overflow, when your line is busy or nobody picks up.
  5. Day 14: count the bookings and leads it captured that would have gone to voicemail, and read five calls from start to end. Then decide.

What should you check before you buy?

  • Your number. Callers know it. Ask which providers' numbers the service can use without porting.
  • Handover. Can it transfer a live call, or only take a message?
  • Calendar and CRM. Does it book, move and cancel, and can it send outcomes to your systems?
  • Other channels. Many customers text first. Does the same agent answer WhatsApp and your website chat?
  • Data location. Where is your data stored and processed?
  • Billing. Is it usage-based or a plan, and is sales tax handled?

How ThinnestAI fits, and where it does not

  • Number: import a number on your own Twilio, Telnyx or Plivo account; nothing is ported and you keep paying your provider. We do not rent US numbers.
  • Handover: transfer to a person works on Plivo and Telnyx numbers; on an imported Twilio number the agent takes details instead. Chat and WhatsApp conversations go to a shared inbox where your team can take over.
  • Calendar: bookings through connected tools, including Google Calendar through Cal.com, and order lookups through Shopify.
  • Channels: one agent answers calls, WhatsApp, website chat and Telegram, with one memory of each customer.
  • Data: stored in the United Kingdom (London), with parts of each call processed in the EU and the US. If you need your data stored in the US, ask us before you sign up; today international workspaces are stored in London.
  • Billing: in US dollars by card, through a merchant of record that handles sales tax. Plans are on the pricing page.

What about call recording?

Recording is a per-agent switch and is off by default; every call gets a transcript and an outcome either way. If you switch recording on, check your state's law. Some states, such as California, require the consent of every party on the call, so say in your greeting that the call is recorded. If you call into several states, plan for the strictest one.

What about calling customers back?

Answering calls customers make to you is not telemarketing. Calling them is regulated: under the TCPA, artificial-voice calls, which the FCC has said include AI-generated voices, generally need prior express consent, and marketing calls need prior express written consent. The TCPA limits telephone solicitations to 8am to 9pm in the called person's local time. In the product you set each campaign's calling hours yourself, on the called person's clock, so set them inside that window. Some states set tighter hours: Florida, for example, limits telephone solicitation to 8am to 8pm. The product keeps a do-not-contact list but does not check consent or the National Do Not Call Registry. Read the TCPA and AI calls before you dial anyone.

A note for healthcare practices

Patient information carries its own federal rules. Ask any provider what it will sign before the agent handles health details, and keep the agent to scheduling and general questions.

FAQ

Frequently Asked Questions

Is AI phone answering better than a live answering service?

+
For repeat questions, bookings and out-of-hours calls it answers every call at once, around the clock. If your callers expect a person every time, or calls need judgment, a live answering service is the better fit.

Can I keep my business phone number?

+
Yes, if it is on your own Twilio, Telnyx or Plivo account. You import it, nothing is ported, and you keep paying your provider. We do not rent US numbers.

Do I need consent to record calls?

+
It depends on the state. Some, such as California, require every party’s consent. Recording is off by default; if you switch it on, say so in the greeting.

Where is my data stored?

+
International workspaces, including US ones, are stored in the United Kingdom (London), with parts of each call processed in the EU and the US.

Does the TCPA apply to answering calls?

+
The TCPA is mainly about calls you place. Answering calls customers make to you is different, but any outbound calling with an AI voice needs the right consent.
