Can an AI Receptionist Answer the Phones at a Clinic in Indonesia?

Short answer: yes, for the administrative calls. An AI receptionist can answer a clinic's phone and WhatsApp in Bahasa Indonesia, book, move and cancel appointments in your calendar, and answer questions about doctors, hours, location and preparation from your own information. It should not give medical advice, and it should hand urgent or clinical calls to a person at once. Health details are a special category of personal data under Indonesian law, so decide what the agent collects before you switch it on.

What does a clinic's front desk spend its day on?

Take a dental and skin clinic in South Jakarta. Between patients, reception handles the same requests again and again:

  • "Bisa buat janji hari Sabtu?" Booking, and moving or cancelling.
  • Which doctor, and on which days.
  • Opening hours, address, parking, how to get there.
  • Preparation: fasting before a blood test, what to bring.
  • Which insurers or schemes the clinic accepts. Answer only from a list you maintain.
  • Confirming tomorrow's appointment.

When the desk is busy these calls ring out, and a patient who cannot get through to a clinic usually rings the next one.

How does the AI receptionist handle a booking?

  1. It answers in Indonesian. The greeting is yours to write, for example the clinic's name and a line saying that it is an automated assistant.
  2. It finds out what the caller needs: the service, the preferred doctor and day.
  3. It checks the calendar. Bookings go into your calendar through Cal.com, or into your own system through its API. Without a connection it takes the request down for the desk to confirm.
  4. It confirms the details back to the patient: name, day, time, doctor.
  5. It records the outcome. Every call has a transcript and an outcome. Recording the audio is a separate switch, off by default.

On WhatsApp the same agent does the same job in text. It is one agent with one memory per customer, matched by phone number: a patient who messaged on WhatsApp and then rings is recognised, and the agent can say they have spoken before without repeating what was said until the person verifies who they are.

What must it never do at a clinic?

Write these limits into its instructions, and test them by calling it yourself:

  • No diagnosis and no treatment advice. A caller describing symptoms is offered an appointment or a call from a nurse, not an opinion.
  • Emergencies go to a person. Give it a list of words and situations (chest pain, heavy bleeding, a child who cannot breathe) and tell it to transfer immediately or to tell the caller to contact emergency services. Transfer to a person works on Plivo and Telnyx numbers; an imported Twilio number answers and records but cannot transfer.
  • No guesses about prices or cover. It quotes only what is in your price list and insurer list, and says "the front desk will confirm" for anything else.
  • No test results. Sending results is a job for your own system, behind a proper identity check.

Does it speak good enough Bahasa Indonesia for patients?

Voice agents speak Indonesian, Malay and English, and you pick a voice from a library you can filter by language, accent, gender and age and listen to first. Chat and WhatsApp replies run in 37 languages, Indonesian among them. Regional languages such as Javanese or Sundanese are not available, so a patient in Surabaya or Medan who is more at ease in a regional language is answered in Indonesian. Listen to your chosen voice on the names of your doctors and treatments before you go live; add a spelling guide to the instructions where it stumbles.

What about patient privacy?

Indonesia's Personal Data Protection Law (Law No. 27 of 2022) lists health data among the "specific" categories of personal data, in Article 4 (text as reproduced on Wikisource, read 25 October 2026). Two practical consequences:

  • Collect the minimum on the phone. Name, phone number, service and time are enough to book. Do not have the agent ask for diagnoses or medical history unless your clinic needs them and has told the patient why.
  • Tell the patient about the recording. Call recording is off by default; if you turn it on, say so in the greeting. The sources we read do not settle how Indonesian law treats recording a call you are part of, so ask counsel.

Whether that is acceptable for patient data is a question for your own adviser; our post on the PDP Law and AI voice agents lists what to ask. Read the official text; this is not legal advice.

What does a clinic need to start?

  • A phone number on a Twilio, Telnyx or Plivo account you hold, or calls forwarded to one. We do not sell Indonesian numbers.
  • A WhatsApp Business number if you want WhatsApp; see how to get it in Indonesia.
  • Your doctor schedule, services and rules written down, and a calendar that can be connected through Cal.com.
  • A person to review the first week of transcripts and fix the answers it got wrong.

Your next step

See the healthcare voice AI page and the Indonesia page, then build a test receptionist with your own opening hours and ring it before any patient does. The general AI receptionist page explains the setup.

FAQ

Frequently Asked Questions

Can it book into my clinic software?

+
It books into Cal.com, or into your own system through an API. If your clinic software has no API, the agent can take the request down and the front desk confirms it.

Does it give medical advice?

+
No, and you should tell it not to. Callers with symptoms are offered an appointment or a call-back, and emergencies are passed to a person.

Will it answer questions about BPJS or insurance?

+
Only from a list you write. If a payer is not on the list, it says the front desk will confirm instead of guessing.

Can patients use WhatsApp instead of calling?

+
Yes. The same agent answers on WhatsApp in Bahasa Indonesia with the same knowledge, and staff can take over from the shared inbox.

Is call recording on?

+
No. Recording is a per-agent switch that is off by default. If you turn it on, say so in the greeting.
