Can an AI Receptionist Serve English-Speaking Customers in Spain?

Short answer: yes. A voice agent can answer your calls in English, in a British, American, Irish or other accent, and in Spanish, at any hour, on the number you already use. It books, takes messages and passes urgent calls to you. It is a good fit for businesses in Spain whose phone rings with callers who do not speak Spanish as a first language: hotels, holiday-rental managers, estate agents, clinics and advisers. It is a poor fit if you need a person to make judgement calls on every enquiry.

Who in Spain gets calls in English?

More businesses than the tourist coast. A dentist in Barcelona has foreign students and executives on its books. An estate agent in Málaga talks to buyers in the UK, Germany and the Netherlands before they ever fly. An adviser in Madrid helps newly arrived residents with paperwork. A boutique hotel in Palma gets late-evening calls from guests who have just landed. In each case the caller is not wrong to ring in English, and a missed call or a voicemail in Spanish usually means they ring the next business on the list.

What does the agent do on the call?

  • Answers in the caller's language. Voice agents speak English (American, British, Australian, Indian and other accents) and Spanish, and many other languages besides, from a voice library you can filter and listen to.
  • Books and moves appointments in your calendar through Cal.com, or in your own system through its API.
  • Answers questions from your material: opening hours, prices, directions, house rules, what a treatment involves. It reads your website, files and pasted text.
  • Takes a message with the details you need, and keeps a transcript you can read.
  • Hands over to a person when you tell it to, for example for a complaint or an emergency (transfer works on Plivo and Telnyx numbers, not on an imported Twilio number).

The same agent can answer on WhatsApp and website chat, with one memory of the customer across channels. See the AI receptionist page for the full picture.

Can I keep my Spanish phone number?

Yes, if the number sits on a Twilio, Telnyx or Plivo account you hold, or you can port it or forward calls to one. We do not sell Spanish numbers, and international workspaces cannot rent one from us. If your number is with a Spanish operator, the simplest start is call forwarding to a number on one of those accounts, so you can test before you move anything.

Where is the data, and what about GDPR?

Calls are also processed partly in other countries: speech recognition in the EU, the voice and the language model in the US, under transfer safeguards. You remain responsible for your own duties as the business that talks to the customer, such as telling callers how their data is used and, if you switch recording on, that the call is recorded. Recording is off by default, and the opening line is yours to write. Ask your data-protection adviser what your own situation requires. This is not legal advice.

What are the limits?

  • The agent follows the instructions and material you give it. If your knowledge base is thin, its answers will be too.
  • Callers with a strong regional accent or poor reception can still be misheard. Read the transcripts in the first weeks and fix what you find.
  • Billing is in US dollars by card, not euros. See pricing.
  • It does not replace a person for complaints, negotiation or anything clinical or legal. Tell the agent which calls go to you.

A person-answered service may suit you better if most of your calls need judgement or a warm voice that knows your regulars by name.

How do I start?

  1. List the ten reasons people ring, in the order of how often they happen.
  2. Load your website, price list and house rules into the knowledge base.
  3. Pick an English voice and a Spanish voice, and ring the agent from your browser.
  4. Forward your out-of-hours calls to it first, then widen to busy periods.
