How Can EdTech Companies Follow Up With Admission Enquiries Automatically?
Short answer: connect your enquiry form or CRM to an AI voice agent so every new enquiry gets a call in the parent's or student's language — asking which course, class or exam they're interested in, their city and preferred batch timing, and booking a counselling session or demo class in a counsellor's calendar. Enquiries that aren't ready yet get a WhatsApp follow-up sequence, and anyone who wants a person is handed to a counsellor.
Why enquiries go cold
Admission enquiries arrive in waves — around results, exam dates and the start of each session — and a counselling team sized for a normal week falls behind in a busy one. The enquiries at the bottom of the list get called days later, by which time the family has spoken to another institute. An agent that calls each enquiry as it arrives keeps the follow-up even when the volume isn't.
How it works, step by step
- An enquiry comes in. Your website form, landing page or CRM sends it to the outbound call API with the name, phone number, course and source. Or upload a sheet of the day's enquiries as a voice campaign.
- The agent calls. In the family's language, about the course they asked for: "Namaste, main [institute] se bol rahi hoon. Aapne NEET coaching ke baare mein poocha tha — kya do minute baat kar sakte hain?"
- It asks what matters. Current class, target exam or course, city, online or classroom, preferred batch timing — and answers questions on fees, batches and faculty from your knowledge base.
- It books the next step. Through tool calling, the agent reads a counsellor's open slots (Google Calendar through Cal.com, or your own system through its API) and books a counselling session or demo class.
- The details go to WhatsApp. The booked time and how to join follow as an approved template message.
- Your team gets the result. Every call has a transcript and an outcome, and the lead's details are captured in the console and sent to your CRM on a signed webhook.
Families who aren't ready, or don't answer
- Smart retry: a busy line is retried in minutes, an unanswered one after an hour or more; a family who declined is never re-dialled.
- Callbacks: "call after my son is back from school" becomes a scheduled call inside your calling hours.
- A WhatsApp sequence: enquiries that didn't book can be enrolled in a drip sequence — each person on their own schedule, stopped as soon as they reply or opt out, with consent checked again before every message.
- One conversation across channels: a parent who replies on WhatsApp or chats on your website talks to the same agent, which knows about the earlier call. Replies that need a counsellor land in the shared inbox.
Rules to be careful about
- Students under 18. India's DPDP Act sets stricter rules for children's personal data. Address the parent, and collect only what admissions needs.
- Calling hours. Outbound calls are time-boxed to 9am–9pm IST; set a narrower window if families prefer evenings, and skip holidays.
- Consent and opt-outs. WhatsApp follow-ups go only to people who have agreed to them, and anyone who says stop, or asks not to be called, goes on your do-not-contact list.
- Say who is calling. The greeting you write tells the family which institute is calling and why — the agent does not announce itself automatically.
What you need to start
A phone number, your course and fee details in the knowledge base, a counsellor calendar and a hook from your enquiry form. The EdTech page has the full admission call flow, and WhatsApp automation covers the follow-up sequences.
