WhatsApp automation use cases in India
WhatsApp is where many Indian customers already message a business, so an agent on the official WhatsApp Business API can answer, confirm and follow up there in Hindi, English or any of the 22 scheduled languages. These eight use cases cover orders, leads, reminders, forms, broadcasts and one customer who moves between WhatsApp and a phone call.
Eight use cases
How businesses in India use whatsapp automation.
Fictional businesses in real places, to show what the agent does with WhatsApp messages.
01 — Saree and textile shop · Surat
Answering "where is my order?" from the store's own data
After a festival sale, customers ask the same question: where is my parcel? The agent looks up the order from the Shopify store and replies in Gujarati or Hinglish, and a person takes over for address changes.
- Receives the customer's message and finds the order from the number or order ID.
- Replies with the dispatch status in the customer's language.
- Sends an address-change request to the shared inbox for a person.
- Stays quiet in that chat while the person replies.
Staff answer address changes and returns, not the same tracking question fifty times.
02 — Interior designer · Thane, Mumbai
Replying to click-to-WhatsApp ad enquiries within the chat
An ad sends people straight into WhatsApp with "How much for a 2 BHK?". The agent answers from the studio's portfolio pages, asks the flat size, budget and handover date, and books a design consultation.
- Replies to the first message inside the 24-hour window.
- Asks BHK size, possession date and budget range.
- Books a studio or video consultation through Cal.com.
- Escalates to the designer in the shared inbox when the lead wants to talk.
Ad clicks become qualified conversations with a booked consultation instead of a pile of unanswered chats.
03 — Dermatology clinic · Indiranagar, Bengaluru
Confirming and rescheduling appointments by template
A clinic sends an approved appointment-reminder template the day before. When a patient replies "can I come later?", the agent offers new slots and updates the booking.
- Sends the approved reminder template to patients who opted in.
- Reads a reply such as "Thursday evening instead" and offers open slots.
- Rebooks through Cal.com and confirms in the chat.
- Passes clinical questions to the clinic's staff.
Rescheduling happens in the chat the patient is already in, and the front desk is not interrupted.
04 — Tuition centre · Boring Road, Patna
Sending fee-due reminders to parents who agreed to receive them
A tuition centre reminds parents of the fee date and shares the timetable. Only parents who agreed receive the template, and a reply of STOP ends the messages.
- Collects each parent's agreement at admission and keeps the record.
- Sends an approved fee-reminder template before the due date.
- Answers "when is the next test?" from the uploaded timetable.
- Hands fee disputes to a person.
Parents get one clear reminder and the office stops chasing by phone.
05 — Jewellery shop · Johari Bazaar, Jaipur
Festival offers to customers who opted in
Before Dhanteras, the shop sends a broadcast to customers who agreed to hear from it. Replies are answered by the agent, and anyone who wants to see a piece is moved to the showroom team.
- Builds an audience from opted-in customers and sends an approved marketing template.
- Answers "what time are you open?" and "do you have lightweight sets?" from the knowledge base.
- Escalates a serious buyer to a person in the shared inbox.
- Excludes anyone who sent STOP from every later broadcast.
A seasonal campaign reaches the right people, and the showroom team only talks to replies that matter.
06 — Wedding photographer · Fort Kochi, Kochi
Collecting a quote request through a WhatsApp Form
Couples ask for dates and packages in a dozen messages. The agent sends a WhatsApp Form for date, venue, events and budget, then summarises it for the photographer.
- Sends a form when someone asks about availability.
- Reads the submitted date, venue and events.
- Replies with the photographer's package notes from the knowledge base.
- Books a call with the photographer through Cal.com.
The photographer starts each conversation with the date, venue and budget already written down.
07 — Cloud kitchen · Banjara Hills, Hyderabad
Answering menu and timing questions, then sending people to order
Customers ask about the menu, spice level and delivery area. The agent answers from the menu you upload and shares your ordering link, because checkout inside WhatsApp is not supported.
- Answers menu, allergens and delivery area from the knowledge base.
- Shares the link to your own ordering page.
- Hands complaints about a late order to a person.
- Replies in Telugu, Hindi or English to match the customer.
Pre-order questions are answered at any hour and orders still go through your own system.
08 — Insurance agency · Sitabuldi, Nagpur
Moving a customer from a WhatsApp reminder to a call
A renewal reminder goes out by template. The customer replies "call me", the agent calls, and it knows they have messaged before. It keeps the details back until the person verifies who they are.
- Sends an approved renewal-reminder template to policyholders who opted in.
- Schedules a callback when the customer asks for a call.
- On the call, recognises the number and says they have spoken on WhatsApp.
- Withholds what was said until the person verifies, then continues.
The customer does not repeat themselves, and the agency keeps one record per customer across both channels.
In practice
How whatsapp automation is used in India.
- WhatsApp is the normal way many Indian businesses and customers message each other, but we found no reliable national figure to quote.
- An agent replies in all 22 scheduled languages on WhatsApp, as well as English. Hinglish in Latin script is common in customer messages and works.
- Outside the 24-hour window after a customer's last message, you can only send an approved template, and Meta reviews each one.
Plainly
What this will not do for you in India.
So you can rule it in or out before you start.
- There are no catalogue, cart, checkout or WhatsApp Pay messages. Send customers to your own page to buy or pay.
- The platform does not work alongside the WhatsApp Business App on the same number. A number on the API is used through the platform's shared inbox.
- Business verification and the payment card for Meta's per-message charges stay in Meta's tools. Everything else, such as templates, broadcasts and the inbox, runs in our platform.
- Meta reviews every template, and promotional content can be rejected. Plan for that before a festival.
The rules
The rules that apply in India.
The rules differ by country and change; you are responsible for following them where you operate.
Opt-in and Meta's messaging policy
Meta's WhatsApp Business Messaging Policy (read 25 October 2026) says you may contact people only if you have received opt-in permission from the recipient, that you decide the opt-in method and must secure the necessary notices and consents, and that you must respect stop requests. Keep a record of when and how each person agreed. Read the official text; not legal advice.
TRAI and the DPDP Act
TRAI's TCCCPR 2018 covers calls and SMS sent over telecom networks. We did not verify whether any TRAI rule applies to WhatsApp messages, so ask your adviser. India's Digital Personal Data Protection Rules were notified on 13 November 2025 and, according to law-firm summaries, their notice-and-consent duties start in a final phase around May 2027 (read 25 October 2026; confirm in the Gazette). WhatsApp charges are Meta's published per-message rates plus our fee; see the pricing page.
