WhatsApp automation use cases in Indonesia
WhatsApp is the main way Indonesian customers talk to businesses, and an AI agent on your official WhatsApp Business API number can answer in Bahasa Indonesia, send approved templates, collect details with forms and hand any conversation to your team. These eight use cases come from Bandung, Surabaya, Yogyakarta, Bekasi, Medan, Malang and Jakarta, followed by limits and the rules that apply, including Meta's own.
Eight use cases
How businesses in Indonesia use whatsapp automation.
Fictional businesses in real places, to show what the agent does with WhatsApp messages.
01 — Fashion online shop · Bandung
Answering order questions and sending shipping updates
Most messages to the shop ask where an order is. The agent answers from your order system, sends a shipping update by template when an order ships, and hands refunds and complaints to your team.
- Sends a utility template when the order ships, written in Indonesian and approved by Meta.
- Replies to where is my order by looking up the order through Shopify or your own API.
- Answers return rules and sizes from your website and documents.
- Passes refunds, address changes and complaints to the shared inbox with the chat attached.
The team answers the hard messages and the agent handles the repeats.
02 — Skin and beauty clinic · Surabaya
Reminding clients and letting them reschedule in chat
A reminder the day before cuts empty slots, and a client who wants to move the visit should not need a phone call. The agent sends the reminder and handles the reply.
- Sends an approved appointment-reminder template the day before.
- On a reply asking to move the visit, offers open slots through Cal.com.
- Confirms the new time in the same chat and notes it in the record.
- Honours a one-word STOP and sends clinical questions to the front desk.
Rescheduling happens in the chat the client is already in, and the desk sees the change.
03 — Boutique hotel · Yogyakarta
Collecting arrival details before a guest checks in
Guests need to give an arrival time and requests before they come. The hotel sends a WhatsApp form after booking and answers stay questions from its house manual.
- Sends a WhatsApp Form asking arrival time, number of guests and special requests.
- Answers questions about parking, breakfast and directions from the knowledge base.
- Does not ask for passport or card numbers in chat; those go to a secure form or a person.
- Hands requests the agent cannot decide, such as an early check-in, to the front desk.
Reception prepares each arrival from a form instead of piecing it together from chats.
04 — Used-car dealer · Bekasi
Replying to people who tap a Click to WhatsApp ad
An ad on Instagram or Facebook opens a WhatsApp chat, and the first reply decides whether the buyer talks to you or the next dealer. The agent answers at once and qualifies the buyer.
- Answers which car, availability and location from your listing data.
- Asks budget range, payment route (cash or finance) and when they can visit.
- Sends a form for a test-drive request, or books a visit through Cal.com.
- Passes serious buyers to a salesperson with the chat attached.
Salespeople start with buyers who have named a car, a budget and a day.
05 — Restaurant · Medan
Taking table bookings with a form
A restaurant loses bookings when the phone is busy at lunchtime. The agent replies on WhatsApp and a form collects the date, time and number of guests.
- Replies to a booking message with a WhatsApp Form for date, time, party size and name.
- Answers menu, halal and parking questions from the menu you upload.
- Passes large-group and event requests to the manager.
- Sends a confirmation reply inside the 24-hour window.
The manager sees each booking as a complete form rather than a scattered chat.
06 — English course · Malang, East Java
Sending class schedules to parents who opted in
A course wants to tell parents about a new term and follow up a trial class without chasing each one by hand. The agent sends a broadcast to parents marked as consenting, and a short sequence after a trial lesson.
- Sends an approved marketing template about the new term, only to people marked as having consented.
- Starts a follow-up sequence after a trial class, which stops when the parent replies or says STOP.
- Answers questions about levels, schedules and fees from your documents.
- Hands enrolment and payment questions to the office.
Parents get relevant messages they agreed to, and the office answers only the enrolments.
07 — Online grocer · Jakarta
Keeping customers informed about a grocery delivery
A fresh-food order has substitutions and a narrow delivery time, and customers ask about both. The agent sends order and delivery updates and answers questions from the order record.
- Sends order-confirmed and out-for-delivery updates as utility templates.
- Replies to where is my delivery from your own order API.
- Offers a substitution choice when an item is out of stock and records the answer.
- Passes missing or damaged items to the support team for a decision.
Customers know what is coming and when, and support handles only the exceptions.
08 — Interior design studio · Jakarta
Following a customer from WhatsApp to a phone call
A client sends photos of a room on WhatsApp, then rings the studio two days later. One agent serves both channels and recognises the caller by phone number.
- Collects room type, area and budget range on WhatsApp, and books a site visit through Cal.com.
- When the same person phones, recognises the number and says that you have spoken on WhatsApp before.
- Withholds what was said in chat until the caller verifies who they are.
- Passes the designer a single record covering both conversations.
The client does not repeat themselves, and the designer sees the whole history.
In practice
How whatsapp automation is used in Indonesia.
- WhatsApp is the main business channel in Indonesia. We found no reliable national figure for how many Indonesian customers use it for business, so we do not quote one.
- Replies from the agent run in 37 languages that include Indonesian but not Malay, and templates can be written in Indonesian and in Malay. Set the register you want, such as Kak or Bapak and Ibu, in the agent's instructions.
- Meta charges per delivered message, by category and by the recipient's country, and publishes an Indonesia rate card that includes rupiah. A reply to a customer inside the 24-hour window and replies inside a Click to WhatsApp ad window are treated differently from templates; read Meta's page before you budget.
- Leads from Instagram, ads and websites usually end up on WhatsApp. Chats inside marketplaces such as Tokopedia and Shopee are separate inboxes that the agent cannot read.
Plainly
What this will not do for you in Indonesia.
So you can rule it in or out before you start.
- No product catalogue, checkout or WhatsApp Pay messages. The agent sends text, templates and forms. Business verification and Meta's payment card stay in Meta's own tools.
- You cannot run the WhatsApp Business app and the API on the same number at once; use a dedicated number. Malay chat replies, and regional languages such as Javanese, Sundanese and Balinese, are not available.
- There is no flow builder: the agent is set up in a settings form. Marketing messages go only to people marked as having consented, and Meta may decline to deliver some marketing templates to people who have received many.
- We support region deployments for enterprise customers.
The rules
The rules that apply in Indonesia.
The rules differ by country and change; you are responsible for following them where you operate.
Meta policy: opt-in and opt-out
Meta's WhatsApp Business messaging policy (last updated 23 September 2026, read 25 October 2026) says you may contact people on WhatsApp only if you have received their opt-in permission, that you are responsible for your opt-in method and for complying with applicable law, and that you must honour requests to stop. Meta recommends a separate opt-in for each message category. A one-word STOP is honoured on our platform before the agent runs. Read the official text; not legal advice.
Messaging into Indonesia from a business based abroad
A WATI help article dated 14 July 2026 says Meta applies extra limits to WhatsApp messages sent to people in Indonesia and Brazil from businesses based outside those countries, mainly newer ones, with error code 130497 and steps through business verification and a messaging-quality history. We could not find this on Meta's own pages, so treat it as unverified and check your account. A business registered in Indonesia messaging Indonesian customers is not the case the article describes, but confirm this with Meta before you rely on it. Read the official text; not legal advice.
Personal data under Law 27/2022
Customer names, phone numbers and chats are personal data. Law No. 27 of 2022 (transition ended 17 October 2024) requires a lawful basis, starting with explicit consent for specified purposes (Article 20), and notice of the purpose (Article 21). Government Regulation No. 33 of 2026 takes effect on 16 January 2027, and press reports in September 2026 said the data protection agency was not yet established. Article 56 sets conditions for sending data abroad, which is a question for your adviser. We read the law on Wikisource and the regulation in an RSM Indonesia alert dated 18 September 2026, not the official texts. Read the official text; not legal advice.
Read on 25 October 2026. Read the official text; this is not legal advice.
