WhatsApp automation use cases · Mexico

WhatsApp automation use cases for businesses in Mexico

The official WhatsApp Business API runs inside the platform: approved templates, a shared inbox and an agent that replies in Spanish or English, with a person taking over when needed. These eight use cases come from shops, clinics, studios and tour operators in Puebla, Guadalajara, Mexico City and Cancún.

Eight use cases

How businesses in Mexico use whatsapp automation.

Fictional businesses in real places, to show what the agent does with WhatsApp messages.

01 — Online store · Puebla

Answering "where is my order?" from the order information

Customers message for delivery status. The agent answers from the order and delivery information you gave it, in Spanish, and hands complaints and returns to a person in the shared inbox.

  1. Recognise the customer by phone number and greet by name.
  2. Answer status and delivery-window questions from your knowledge base and tools.
  3. Hand over to a person for damaged goods or refunds, with the conversation attached.
  4. Send an update by template when a delivery changes, outside the 24-hour window.

The team spends its day on real problems, not on repeating tracking information.

02 — Dental clinic · Guadalajara

Appointment confirmations and reminders by template

The clinic sends a confirmation after booking and a reminder the day before, using templates approved by Meta, and patients answer to confirm, move or cancel.

  1. Send an approved reminder template to patients who agreed to messages.
  2. Read the reply: confirm, move or cancel.
  3. Offer new slots through Cal.com and update the booking.
  4. Offer a cancelled slot to the next person on the list.

Empty slots are refilled more often and the front desk stops phoning to confirm.

03 — Restaurant and mezcal bar · Oaxaca

Group booking requests through a WhatsApp Form

Customers ask on WhatsApp for a table for a group. A WhatsApp Form collects date, party size and dietary needs, and the manager confirms the large ones.

  1. Send the booking form when someone asks to reserve.
  2. Read the answers and check availability against the calendar.
  3. Confirm small tables; pass large groups to the manager in the inbox.
  4. Send a reminder template the day before.

Bookings arrive in a structured form instead of a long chain of voice notes.

04 — Estate agent · Querétaro

Replying to property leads within minutes

Leads from property portals write to the agent's WhatsApp. The agent answers questions about the development, asks budget and timing, and books a visit.

  1. Answer from the brochure and price information you loaded.
  2. Ask the qualifying questions you wrote: budget, form of payment, timing.
  3. Book a viewing through Cal.com or hand the lead to an adviser.
  4. Schedule a follow-up for leads who say they are not ready.

Leads get a useful answer at once, and advisers meet the ones who are ready.

05 — Pilates and yoga studio · Mexico City

Rescheduling classes without a message queue

Members ask to move a class. The agent offers the next open sessions, confirms the change and releases the original place for the waiting list.

  1. Identify the member and the booked class.
  2. Offer the next sessions with space.
  3. Confirm and send a reminder template before the new class.
  4. Hand billing questions to the front desk.

Class changes are handled in a minute and the schedule stays full.

06 — Auto repair shop · Tijuana

Collecting repair details and photos for a quote

Customers describe a fault and send photos. A WhatsApp Form collects the car, the symptoms and a preferred time, and the mechanic replies with a quote.

  1. Send a form for make, model, year and symptoms.
  2. Ask for photos or a short video in the chat.
  3. Place the request in the shared inbox for the mechanic.
  4. Message when the quote is ready and book a drop-off slot.

Quotes start from a complete description instead of a vague 'something is wrong'.

07 — Tour operator · Cancún

Broadcasting the season to past guests who opted in

Before high season, the operator sends an approved template to past guests who agreed to hear from them, with new excursion dates. Replies go to the agent or a person.

  1. Select only customers who opted in to messages.
  2. Send an approved marketing template.
  3. Reply to questions from the knowledge base.
  4. Hand booking requests to a person with the thread attached, and honour every stop request.

Past customers hear about new dates, and only the ones who agreed are contacted.

08 — Veterinary clinic · Mérida

A client who rings and then continues on WhatsApp

A pet owner rings about a vaccine, and later writes on WhatsApp to change the time. The agent has one memory of the customer by phone number: it recognises the earlier call and withholds details until the person verifies.

  1. Match the WhatsApp number to the earlier call record.
  2. Say 'we've spoken before' without revealing what was said until the person verifies.
  3. Move the appointment through Cal.com.
  4. Send the new time as a confirmation template.

The owner does not repeat themselves between channels, and the clinic keeps one thread of context.

In practice

How whatsapp automation is used in Mexico.

  • WhatsApp is the usual way small Mexican businesses talk to customers, but we found no reliable national figure to quote, so we quote none.
  • Replies run in 37 languages, and Spanish and English are among them; indigenous languages are not.
  • The official WhatsApp Business API runs inside the platform, with a shared inbox for your team, so day-to-day work does not need Meta's WhatsApp Manager.

Plainly

What this will not do for you in Mexico.

So you can rule it in or out before you start.

  • No product catalogue, checkout or WhatsApp Pay messages in our platform.
  • A number on the API cannot also be used in the WhatsApp Business App at the same time (no coexistence).
  • Business verification and Meta's payment card stay in Meta's own tools; templates are reviewed by Meta, which can reject them.
  • Indigenous languages are not among the 37 reply languages.

The rules

The rules that apply in Mexico.

The rules differ by country and change; you are responsible for following them where you operate.

Meta's rules: opt-in and templates

The WhatsApp Business Messaging Policy (read at whatsappbusiness.com/policy on 25 October 2026) says businesses may contact people only with opt-in permission from the recipient, must honour requests to block, discontinue or opt out, and may initiate conversations only with an approved Message Template; outside the 24-hour customer service window only approved templates can be sent. Meta's systems may limit how many messages a business can send, and user reports can affect quality. Keep a record of when and how each person opted in. Read the official text; not legal advice.

Mexican rules: REPEP and the privacy notice

PROFECO's REPEP register lets consumers list numbers to stop promotional contact; reporting read on 25 October 2026 describes it as covering calls and text messages, and we could not confirm WhatsApp coverage, so treat marketing messages as needing consent either way. Mexico's new data law (published 20 March 2025, in force 21 March 2025, per a law-firm summary) asks a business that collects personal data to give a privacy notice (aviso de privacidad). We support region deployments for enterprise customers. Read the official text; not legal advice.

Questions

Common questions.

Can the agent reply on WhatsApp in Spanish?

+
Yes. Replies run in 37 languages, and Spanish and English are both among them. A person can take over from the shared inbox at any time.

Do I need to use Meta's WhatsApp Manager?

+
Not for day-to-day work: templates, broadcasts, forms and the inbox run inside the platform. Business verification and Meta's payment card stay in Meta's own tools.

Can I send promotions to my customer list?

+
Only to people who opted in, using approved templates. Meta's policy requires opt-in permission, and a Mexican consumer may have listed their number in REPEP.

Can I keep using the WhatsApp Business App on the same number?

+
No. A number on the API cannot be used in the WhatsApp Business App at the same time.

Where is the data stored?

+
Each workspace keeps its data in the region it is set up in. We support region deployments for enterprise customers, who can ask for a deployment in their own region.
